Maple Physiotherapy and Performance
Kyneton
Administration & Client Experience Coordinator
Maple Physiotherapy | Kyneton, VIC
Be at the heart of the Maple experience.
Maple Physiotherapy & Performance is a modern, premium multidisciplinary allied health clinic in Kyneton, built around one simple goal: helping people move better, recover stronger and realise their potential.
Our clinic brings together Physiotherapy, Osteopathy, Clinical Pilates, Strength & Conditioning and rehabilitation within one integrated setting.
We are looking for an enthusiastic, organised and people-focused Administration & Client Experience Coordinator to become an important part of our growing team.
This is much more than a reception role. You will be at the centre of the Maple experience — connecting our clients with our clinicians, services, programs and community.
The Maple Experience
At Maple, we want every person who walks through our doors to feel:
Welcomed. Known. Supported. Connected.
From the moment a client makes their first enquiry, through their initial consultation, rehabilitation, Clinical Pilates or strength program, our team works together to create a seamless and positive experience.
Our clinic environment reflects this philosophy. We have created a beautiful, up-to-date and professional space where high-quality clinical care, exercise, movement and community come together.
As our Client Experience Coordinator, you will help bring this experience to life every day.
What Makes Maple Different?
You'll be part of a multidisciplinary environment where clients can access:
- Physiotherapy
- Osteopathy
- Clinical Pilates
- Strength & Conditioning
- Rehabilitation and performance programs
- Individual and small-group exercise sessions
You'll work alongside passionate clinicians who value collaboration, professional development and genuine relationships with their clients.
You'll also become part of a team that values energy, connection and enjoying the workplace, with regular team events,
social activities and opportunities to celebrate our people and our clients.
The Role
This is a four-day-per-week position where you will play a central role in the day-to-day experience of our clients and team.
Your role will include:
- Being the first point of contact and welcoming face of Maple
- Creating a warm, professional and memorable first impression
- Building genuine relationships with clients and getting to know our community
- Managing appointments, cancellations and enquiries
- Using Cliniko for bookings, payments, client records and administration
- Helping clients understand Maple's different services and pathways
- Connecting clients with the appropriate Physiotherapy, Osteopathy, Clinical Pilates or Strength program
- Supporting smooth transitions between services
- Communicating closely with clinicians to ensure clients receive a seamless experience
- Supporting practitioners and management with administration
- Helping maintain the presentation and atmosphere of our beautiful clinic
- Supporting clinic events, promotions and community initiatives
- Identifying opportunities to improve the client journey
- Contributing to the ongoing growth and development of Maple
You Will Help Tell the Maple Story
An important part of this role will be helping clients understand what Maple can offer them.
You may be helping a client understand the difference between:
- Physiotherapy and Osteopathy
- Clinical Pilates and Strength & Conditioning
- 1:1 rehabilitation and small-group programs
- Injury rehabilitation and long-term strength development
You will help connect the right person with the right service and make navigating their healthcare journey simple.
About You
We are looking for someone who is:
- Warm, friendly and naturally welcoming
- Professional and confident
- Organised and highly attentive to detail
- Comfortable communicating with a wide range of people
- Proactive and willing to take ownership
- Positive and solutions-focused
- Confident with technology and able to learn new systems
- Comfortable working within a busy, growing environment
- Interested in health, movement and wellbeing
- Excited by being part of a team and contributing to its culture
Previous administration, customer service or allied health experience will be highly regarded, particularly experience with Cliniko.
The Person We're Looking For
We want someone who wants to be part of Maple — not simply work at the front desk.
Someone who takes pride in the clinic environment.
Someone who remembers a client's name.
Someone who notices when a client might need a little extra help.
Someone who enjoys seeing clients progress from their first appointment through to rehabilitation, strength and long-term wellbeing.
Someone who contributes to the energy of the team.
Someone who is proud to represent Maple in our local community.
If that sounds like you, we'd love to meet you.
How to Apply
Please submit your resume and cover letter addressing:
1. Why would you like to be part of the Maple team?
2. What does an exceptional client experience mean to you?
3. Why do you think you would be a good fit for the Maple culture?
4. Tell us about a time you created a positive experience for a client or customer.
5. What interests you about working within a multidisciplinary health and performance environment?
6. What is your current availability?
Come and help us create a clinic experience that people want to be part of.
We look forward to meeting the next member of the Maple team.
