A rewarding specialist administration role offering variety, independence and the opportunity to make a genuine difference.

If you're an experienced medical administrator who enjoys taking ownership of your work, building genuine patient relationships and making sure everything runs smoothly behind the scenes, this could be a wonderful next step in your career.

Prologue is a contemporary obstetrics and fertility practice delivering a highly personalised model of specialist care. With a strong reputation and a growing practice, the team is committed to creating an experience that is seamless, considered and exceptional from the moment a patient first makes contact.

As our Obstetrics Services Administrator, you'll be an important part of making that experience possible.

This is an opportunity to bring together your specialist medical administration, patient coordination and billing expertise in a role with real variety and ownership — while working three days per week.

Why you'll enjoy this role

A substantial role, three days a week – enjoy the variety and satisfaction of specialist administration in a permanent part-time position

Your experience will be valued – use your medical administration, billing and organisational skills with confidence and independence

Get to know your patients – become a familiar, reassuring point of contact throughout their pregnancy journey

Bring the details together – coordinate appointments, correspondence, hospital arrangements and the many steps behind seamless care

Work with an experienced clinical team – collaborate with obstetricians, midwives and hospitals in a professional, patient-focused environment

Contribute to a growing practice – share your ideas and help maintain the thoughtful, personalised care Prologue is known for

What will your day look like?

At the heart of your role will be the coordination of each patient's obstetrics journey. From initial enquiries through to appointments, referrals, investigations, hospital arrangements and follow-up, you'll help ensure the many administrative details behind each patient's care are managed accurately and thoughtfully. Working closely with obstetricians, midwives, hospitals and other providers, you'll keep communication flowing, patients informed and important milestones on track.

Your medical billing expertise will be equally important. You'll manage obstetrics billing and accounts administration, including Medicare and private health fund claims, patient accounts, receipting, reconciliations and billing enquiries. Your accuracy and attention to detail will be highly valued, along with your ability to confidently manage patient billing enquiries and provide clear, supportive communication.

You'll also manage patient correspondence, referrals, consent documentation, confidential records and patient tracking systems, ensuring information is current and nothing is overlooked. Reception support will form part of the role when required,

helping deliver the same warm, professional experience at every point of contact.

This is a role for someone who enjoys the people just as much as the detail. You take pride in anticipating what needs to happen next, getting the administration right and making the experience easier for patients and the clinical team.

About you

You're an experienced medical administrator who enjoys working in a specialist environment where professionalism, attention to detail and patient care are equally important. Warm and approachable, you're confident managing competing priorities and comfortable taking ownership of your work.

You'll ideally bring:

5+ years' experience in medical administration – preferably within specialist or private practice

Strong medical billing experience – including Medicare, private health fund billing and reconciliations

Excellent patient communication skills – with a compassionate and reassuring approach

Sound knowledge of medical administration – clinical workflows and patient care pathways

Exceptional organisation – accuracy and attention to detail

Confidence coordinating care – including appointments, referrals, correspondence and follow-up

Experience with practice management systems

A proactive, calm approach – with initiative and practical problem-solving skills

Discretion and professionalism – when handling sensitive patient information

This is an opportunity to bring your experience to a role where the little details matter, the relationships you build are significant and your contribution is genuinely valued.
