Hawthorn

Blokes Psychology provides mental health support and counselling to boys and men of all ages. We're a leader in male mental health, supporting clients across Melbourne and Australia through our Hawthorn, Cheltenham and Scoresby clinics, as well as via telehealth.

We're a close-knit, values-driven team that genuinely cares about our clients, and about each other.

We're looking for a warm, organised Receptionist to join our Client Connect Team as the first point of contact for our clients, working part-time (2 to 3 days per week) across our Hawthorn and Cheltenham clinics.

This is a front desk role, answering calls, completing admin and intake tasks. It's a genuine opportunity to build a career in practice administration. This role suits someone who enjoys being the first point of contact, thrives in a busy clinic environment, and values professionalism, warmth and discretion.

If you're smiley, organised, and keen to contribute to meaningful work, we'd love to hear from you.

Experience in medical or allied health reception is preferred, though strong skills and the right attitude matter most, so we welcome candidates from broader administrative backgrounds too.

What you'll do

- Engaging with clients, referrers and third parties by phone, email and in person
- Answering calls, greeting callers kindly, answering their questions and taking accurate messages when required
- Responding promptly and warmly to email enquiries and rescheduling requests
- Handling general enquiries about clinic hours and services, and referring more complex questions to the right team member
- Greeting clients in person when they arrive for appointments

- Managing client bookings in the practice management system, including scheduling, rescheduling and confirming appointments; collecting details such as referrals, Mental Health Care Plans, Medicare or health fund information, and consent forms
- Processing payments, Medicare rebates and third-party billing (DVA, TAC, WorkCover, NDIS and similar)
- Maintaining confidentiality and professional standards
- Assisting with day-to-day clinic operations, including opening and closing, tidying and restocking

About you We're looking for someone seeking a long-term home in practice administration.

We invest considerable time in training and supporting our Client Connect Team, and continuity matters to our clients and clinicians. This role is best suited to someone who sees themselves working with us for the next few years. Students are welcome to apply where their ongoing career plans align with this.

- Warm, professional customer service, clear communication and active listening
- Genuine empathy: the ability to notice when a client is anxious or distressed and respond with warmth, not just efficiency
- Solid organisation, time management and attention to detail, comfortable multitasking, staying calm under pressure and handling complaints with patience
- Comfortable following processes and applying practice policies consistently,

including trickier ones like late cancellation fees, with kindness and clarity
- Confidence using computers and office software (Zanda, Microsoft Office, Gmail, Slack and Asana) and solving problems independently
- Experience in medical or allied health reception (preferred)
- Medicare and third-party funding knowledge (desirable)

Hours, location and pay

- Hours: part-time, 2 to 3 days per week
- Location: flexible across our Hawthorn and Cheltenham clinics (no remote work)
- Reports to: Practice Manager and Director
- Pay: competitive, based on experience, in line with the applicable modern award, plus superannuation

Why join Blokes Psychology?

- A genuine opportunity in practice administration, whether you're looking for a stable, long-term role or want room to build your skills and grow into a senior administrative role
- A positive, dependable workplace culture, something we pride ourselves on
- Work that genuinely makes a difference

How to apply Please email Denise (Practice Manager) at [email protected] with:

1. A short video, around 60 seconds, introducing yourself and why you'd be a great fit for the role
2. Tell us about your career plans and why this role fits you for the next few years
3. Your availability and an updated CV

Don’t overthink it: no scripts, no production, no pressure, just you, being you. We’re keen to get a feel for who you are and why you’d like to work with us. We welcome applications from all genders and backgrounds. All applications are treated confidentially.

Applications close: 20th November
