Loan Administration & Recoveries Officer

Asset Based Lending Pty Ltd – Melbourne VIC

We are seeking a highly organised, proactive and detail-oriented Loan Administration & Recoveries Officer to manage loans from settlement through to payout, extension or, where necessary, default and asset recovery. This is a hands‑on role requiring strong numerical, communication and problem-solving skills, with responsibility for ensuring payments, deadlines and contractual requirements are managed effectively.

Key responsibilities

- Prepare and issue monthly interest invoices and monitor payments.
- Follow up overdue payments and communicate with borrowers regarding outstanding amounts.
- Prepare loan payout figures upon request.
- Reconcile borrower payments against invoices and loan records, maintaining accurate financial records in Xero.
- Assist with month-end reconciliations and reporting.
- Monitor upcoming loan expiries and proactively contact borrowers to confirm repayment arrangements.
- Assess extension requests based on payment history, exit strategy and current LVR, and seek the required internal approvals.




- Coordinate with valuers and tracking providers to arrange site visits and ensure requirements are completed within required timeframes.
- Manage defaulted loans in accordance with internal procedures and contractual requirements.
- Coordinate with tracking and recovery providers to locate and recover secured assets.

About you

- Experience in finance, lending, loan administration, collections, asset finance or a similar role.
- Experience using Xero or similar accounting software.
- Solid numerical, reconciliation and organisational skills.
- Excellent communication, negotiation and problem-solving abilities.
- Confidence managing overdue payments and difficult conversations professionally.
- The ability to manage competing deadlines, maintain accurate records and identify potential issues early.
- Confidence liaising with external providers, including valuers, tracking companies, recovery agents and auctioneers.
