Head Receptionist – Shepparton
Vision Radiology Group (VRG) | Full-Time | Shepparton, VIC
Lead a busy reception team. Develop people. Make a difference.
Are you an experienced reception professional ready to take the next step into leadership? Or an established team leader looking for an opportunity to make a meaningful impact within a busy healthcare setting?
Vision Radiology Group is seeking a capable, proactive and people-focused Head Receptionist to lead our reception team at our Shepparton clinic.
This is an opportunity for someone who can take ownership of day-to-day operations, lead a team with confidence and consistency, and maintain high standards of patient service in a fast-paced medical imaging environment.
We are looking for more than an experienced receptionist. We need a leader who can make sound decisions, address challenges directly, develop their team and work collaboratively with clinic and regional leadership to achieve the best possible outcomes for patients and staff.
About Vision Radiology Group
Vision Radiology Group is an independent, locally owned radiology group with a network of 27 clinics across metropolitan Melbourne and regional Victoria.
Our clinics are supported by experienced teams and subspecialised radiologists, with a strong focus on patient care, accessible medical imaging and delivering a high standard of service to our referring practitioners and communities.
At VRG, our people play an important role in the patient experience, and effective leadership is essential to keeping our clinics running safely, efficiently and professionally.
About the role
Reporting to and working closely with the Regional Manager, you will oversee the day-to-day operation of the Shepparton reception team, providing clear leadership, operational direction and ongoing support.
Shepparton is a high-volume clinic where priorities can change quickly. The successful candidate will need to balance hands-on operational involvement with the broader responsibilities of managing people, maintaining standards and improving workflows.
Your key responsibilities will include:
Team leadership and performance
- Lead, motivate and support the reception team, establishing clear expectations and consistent standards of performance.
- Provide structured training, coaching and feedback to develop staff capability and confidence.
- Address performance concerns, attendance issues and workplace conflict promptly, fairly and professionally.
- Have constructive and sometimes difficult conversations when required, maintaining appropriate qualified boundaries.
- Foster a respectful, accountable and collaborative working workplace.
Clinic operations and patient flow
- Coordinate daily reception operations, staffing priorities and patient flow in a busy medical imaging clinic.
- Manage competing demands, including patient registrations, incoming calls, appointment bookings, online enquiries and administrative workflows.
- Make timely, practical decisions when operational challenges arise, ensuring patient safety and service standards remain a priority.
- Identify workflow inefficiencies and implement improvements in consultation with the Regional Manager.
- Ensure reception procedures, patient identification requirements and administrative processes are consistently followed.
Patient experience and service delivery
- Manage escalated patient concerns and complaints with professionalism, empathy and sound judgement.
- Support the team in delivering accurate information, efficient service and a positive patient experience.
- Recognise when matters require escalation and ensure concerns are managed in accordance with established procedures.
Communication and accountability
- Work collaboratively with the 2IC, Clinic Lead, sonographers, radiologists and Regional Manager.
- Keep management informed of operational issues, staffing concerns, team development and opportunities for improvement.
- Take ownership of issues through to resolution, following up on agreed actions and communicating outcomes.
- Contribute to a culture of continuous improvement, qualified communication and accountability.
About you
You are a confident and organised leader who can bring out the best in people while maintaining clear expectations and professional standards.
You are comfortable making decisions,
addressing issues directly and taking responsibility for outcomes. You understand that effective leadership requires both supporting your team and holding people accountable.
To be successful in this position, you will demonstrate:
- Leadership capability: Proven experience leading, supervising or coordinating a team, with the confidence to provide direction and manage day-to-day performance.
- People management: The ability to address difficult conversations, resolve conflict impartially and manage performance concerns respectfully and consistently.
- Operational judgement: Strong problem-solving skills and the ability to prioritise competing demands in a high-volume environment.
- Communication: Clear, professional communication with staff, patients, clinicians and management, including the confidence to raise concerns and provide constructive feedback.
- Accountability: A proactive approach, sound judgement and a willingness to take ownership of decisions, actions and outcomes.
- Organisation: The ability to coordinate daily operations, manage changing priorities and maintain attention to detail under pressure.
- Emotional intelligence: An approachable and composed manner, with the ability to listen, respond constructively to feedback and maintain appropriate professional boundaries.
- Continuous improvement: The initiative to identify issues, recommend practical solutions and follow through on agreed changes.
Previous experience in medical reception, healthcare administration or medical imaging will be highly regarded. Experience in a busy, multi-disciplinary clinic will be advantageous.
Importantly, we are looking for demonstrated leadership capability, not simply someone who has worked in reception for a number of years. You must be comfortable managing people, making decisions and upholding qualified standards in a demanding environment.
What we offer
- A full-time leadership prospect within an established, locally owned radiology group.
- The opportunity to take an active role in the development and performance of your team.
- Training, guidance and ongoing support to assist you in the position.
- Collaboration with an experienced Regional Manager and multidisciplinary clinical team.
- The opportunity to contribute ideas, improve workflows and make a meaningful difference to the patient and staff experience.
