About Fergys Food
Fergys Food is a successful Australian family-owned bakery with more than 25 years of experience supplying quality baked goods to the hospitality industry. With a team of more than 140 people, we take pride in our products, our customer relationships and the people who make our business work.
We are looking for a National Dispatch Coordinator to help ensure our customers receive the right products, at the right time, every time.
About the role
This is a hands‑on coordination role at the heart of our national business. You'll help manage customer orders from entry through to delivery, coordinate freight and transport, monitor stock availability and work closely with our Production, Warehouse, Sales and customer service teams.
You’ll need to be organised and accurate, but this role is about much more than processing orders and ticking boxes. We need someone who notices when something isn’t right, takes responsibility for finding a solution and follows things through to completion.
Experience is valuable, but attitude matters most.
You might already work in dispatch, logistics or supply chain coordination. Alternatively, you might be an experienced office administrator or coordinator who is highly organised, learns quickly, thinks on their feet and takes pride in doing a job well.
If you’re the sort of person who sees a problem and thinks, “What can I do to fix this?”, rather than waiting for someone else to tell you, we’d love to hear from you.
What you’ll be doing
- Coordinating customer orders:
Enter and check orders accurately, including pricing, minimum order quantities, stock availability and production lead times.
- Managing freight and deliveries: Coordinate transport bookings, dispatch schedules and deliveries to customers and distribution centres across Australia.
- Keeping everyone informed: Liaise with customers, Sales, Production, Warehouse Operations and transport providers to keep orders moving and expectations clear.
- Taking ownership: Investigate missing stock, incomplete orders and delivery risks. Work with the warehouse team to find practical solutions, including helping to prepare or complete a shipment when needed.
- Monitoring stock and discrepancies: Investigate differences between system records and physical stock, communicate issues and help prevent them from recurring.
- Resolving problems: Follow up shortages, rejected or damaged goods, returns, delivery claims and invoice discrepancies, ensuring issues are investigated and resolved appropriately.
- Maintaining accurate records: Keep order details, purchase orders, freight information, delivery records and adjustments up to date.
- Improving the way we work: Identify opportunities to improve processes, prevent errors and make our day‑to‑day operations more efficient.
- Working as a team: Share information,
support colleagues and contribute to a workplace where people take responsibility and help one another.
What will make you successful?
- Initiative: You notice what needs doing and get started.
- Ownership and accountability: You take responsibility for your work, follow through on commitments and speak up when something goes wrong.
- A practical, solutions‑focused approach: When plans change or problems arise, you stay calm, investigate and work out the next steps.
- Organisation and attention to detail: You can manage competing priorities without losing sight of accuracy.
- A willingness and ability to learn: You pick up new systems and processes quickly, ask sensible questions and become increasingly independent.
- A solid work ethic: You are dependable, productive and willing to pitch in when the team needs you.
- Good communication and teamwork: You keep people informed, treat others respectfully and understand that reliable delivery depends on everyone working together.
- Customer focus: You understand that behind every order is a customer relying on us.
Experience and qualifications
Previous experience in dispatch, logistics, freight coordination, order management, inventory, purchasing or production coordination would be an advantage, but it is not essential.
We are equally interested in candidates with strong transferable skills from office administration, customer service or other coordination roles who can demonstrate initiative, sound judgement, organisation and the ability to learn quickly.
Familiarity with Microsoft Office, inventory systems or warehouse management systems would be useful. Experience in food manufacturing or a similar opera
