AlayaCare Business Systems Owner
Are you the person who looks at a system and immediately starts thinking, “There has to be a better way to do this?” Do you enjoy improving workflows, digging into data, troubleshooting issues and helping people feel confident using technology?
We are looking for an AlayaCare Business Systems Owner to take ownership of Astley Care’s core care management system and help us make it work smarter across our organisation.
This is an exciting opportunity for someone with strong business systems knowledge who enjoys being the link between technology, data and the people who use it every day.
About Astley Care
Astley Care is a respected not-for-profit organisation providing aged care and community services across Perth’s south-east metropolitan region. For more than 40 years, we have supported people to remain living independently in their own homes. Our purpose is centred around choice, dignity and independence, and behind great care are great systems that help our people do their jobs well.
About the Role
As our AlayaCare Business Systems Owner, you will be our internal AlayaCare subject matter expert and take the lead in ensuring the system is well configured, well understood and continually improving. You will work across operational and corporate teams, helping us improve workflows, strengthen data quality, develop meaningful reporting and make better use of AlayaCare functionality.
You will also coordinate system enhancements, releases and vendor support, while providing practical training and guidance that helps our people get the most from the system.
What You Will Be Doing
- Own and continually optimise how AlayaCare is configured and used across Astley Care.
- Review workflows, forms, templates, service codes, permissions and system settings.
- Identify manual workarounds, duplicated processes and opportunities to use system functionality more effectively.
- Coordinate system upgrades, releases, testing and implementation.
- Improve data quality, reporting and system governance.
- Develop useful reports, dashboards and datasets that support operational and organisational decision-making.
- Investigate data anomalies and system issues and coordinate practical solutions.
- Work with AlayaCare and other system providers to manage support requests, enhancements and integrations.
- Develop user guides, procedures and practical training resources.
- Train and coach staff to build confidence and consistency in how the system is used.
- Support a network of system champions or super-users across the organisation.
- Track system improvements, risks, actions and priorities and provide clear recommendations to stakeholders.
Who We Are Looking For
We are looking for someone who genuinely enjoys systems, data and continuous improvement. You will be comfortable getting into the detail of how a system works, understanding what users need and turning that into practical improvements.
You will bring:
- Strong experience administering, owning or improving a complex client, service or enterprise business system.
- Confidence analysing workflows and identifying smarter, more efficient ways of working.
- Strong data literacy and experience with reporting and data quality.
- Experience coordinating system changes, testing, releases and implementations.
- Strong troubleshooting and problem-solving skills.
- The ability to develop transparent procedures, user guides and training.
- Confidence working with users across different roles and levels of technical experience.
- Strong organisation and the ability to manage competing system priorities and follow issues through to resolution.
- Excellent communication and stakeholder engagement skills.
- A practical, curious and continuous-improvement mindset.
AlayaCare Experience? Even Better.
Experience with AlayaCare or a comparable care management platform will be highly regarded. We would also love to hear from candidates with experience in aged care, community services, disability, health or another regulated service environment, as well as those with experience in reporting, integrations, data extracts or Power BI.
Why Join Astley Care?
This is an opportunity to take genuine ownership of an important business system and see the impact of your work across the organisation.
- An ongoing 0.8 to 1.0 FTE opportunity.
- A role where you can shape how AlayaCare is used and improved.
- Plenty of variety across systems, data, reporting, training and process improvement.
- A collaborative, values-driven workplace.
- Opportunities for professional development and growth.
- Salary packaging benefits.
- Corporate health fund discounts.
- Meaningful work supporting an organisation that helps people remain independent in their own homes.
