Westcool WA is looking for an experienced Service Assistant / Scheduler to join our busy Service Division at our Wangara head office.

Established in 2016, Westcool is a growing commercial HVAC, refrigeration and electrical services business with a team of around 50 people servicing major commercial and retail clients across Western Australia.

Reporting to our Account Managers, you’ll play a key role in keeping our field technicians organised, our clients updated and our service jobs moving through to completion.

What you’ll be doing:

- Scheduling and dispatching technicians and apprentices
- Managing daily and weekly workloads, including planned maintenance, breakdowns and quoted works
- Coordinating urgent call-outs and changing priorities throughout the day
- Updating clients regarding attendance and job progress
- Managing work orders and updates through client facilities portals
- Keeping jobs accurate and up to date in Uptick
- Raising purchase orders for suppliers and subcontractors
- Assisting Account Managers with quote preparation and job information
- Answering phones and supporting the wider Service team

The role is focused on scheduling, coordination and administration. Quoting, pricing and commercial discussions remain with our Account Managers.

About you





We’re looking for someone who has:

- Previous scheduling, dispatch or service coordination experience
- Ideally worked within HVAC, refrigeration, electrical, facilities management or another trade/service business
- Robust organisational skills and the ability to juggle changing priorities
- Confidence dealing with technicians and clients over the phone
- Good computer skills and experience with job management systems, client portals and Microsoft 365
- Excellent attention to detail
- A proactive attitude and willingness to help the team

Experience with Uptick, facilities-management client portals, purchase orders or HVAC/refrigeration terminology would be highly regarded.
