East Coast Freight Distribution

Melbourne

Are you the person who notices when something doesn't quite add up?
Do you enjoy keeping accounts up to date, maintaining good relationships with customers and suppliers, and making sure nothing gets overlooked?
Are you comfortable working independently, learning new systems and finding answers when something isn't clear?
Do you notice a process being done manually every day and wonder whether there's a better way?
If you're an experienced accounts and administration person who takes pride in their work, we'd like to meet you.
The Role
East Coast Freight Distribution is a long-established, family-owned Sunshine Coast transport company based at Kunda Park.
We're looking for an organised, capable and reliable Accounts & Payroll Administrator to take responsibility for the day-to-day accounts, payroll and administration functions of our business.
You'll work closely with our General Manager and Operations team, and you'll be a big part of how smoothly things run behind the scenes.
You will be managing accounts payable and receivable, weekly payroll and a range of key office and employee administration tasks.
This is a hands‐on role with plenty of variety, where being organised, accurate and good with people and numbers really matters.
Our business operates through the Christmas/New Year period (excluding public holidays), and you'll need to be available to work every business day during this time.
What you will be responsible for
Accounts payable
Checking and processing subcontractor work and supplier invoices
Processing payments to suppliers and subcontractors
Maintaining accurate supplier records
Responding to supplier and subcontractor account enquiries
Following up discrepancies and resolving account issues
Keeping all accounts in order and building good working relationships with our suppliers and subcontractors
Accounts receivable
Preparing and issuing customer invoices
Allocating payments and maintaining accurate customer accounts
Following up overdue accounts and managing debtors
Responding to customer billing enquiries and resolving discrepancies

Maintaining good working relationships with customers regarding their accounts
Payroll and employee administration
Processing weekly payroll accurately and on time
Maintaining employee payroll and leave records
Preparing and placing recruitment advertisements on SEEK
Reviewing applications and shortlisting suitable candidates for management
Coordinating new employee onboarding, including paperwork and employee records
Managing employee offboarding administration when someone leaves
Office and general administration
Checking driver fatigue forms for completeness and following up missing or incorrect information
Ordering and maintaining office supplies
Maintaining organised electronic records and filing systems
Assisting with general office administration and enquiries
Supporting management and operations with routine administrative tasks
An chance to grow
While the initial position focuses on accounts, payroll and administration, there is an opportunity to develop into a broader business administration and management support role.
Depending on your interests and abilities, this could include:
Compliance – licences, insurance, WHS, Chain of Responsibility, fatigue and subcontractor documentation
HR administration – employee records, contracts, leave, award classifications and WorkCover
Business information and analysis – helping management understand costs, customers, rates and how the business is performing
Systems and improvement – finding better, faster ways to do repetitive work, including automation and AI tools
Follow-through with our external providers – accountants, IT, insurers and other specialists
We believe in recognising people who develop their skills,

take on greater responsibility and make a positive contribution to the business.
Who We're Looking For
You'll need solid experience in accounts payable, accounts receivable and payroll, using cloud-based accounting and payroll software.
Experience processing weekly payroll with varying hours, overtime, allowances and penalty rates is a big plus – especially in transport or another hourly workforce.
You'll ideally be:
Very organised and naturally good with detail
Comfortable with accounts and numbers
Analytical and curious
Confident using business software and quick to learn new systems
Good at investigating something you don't understand
Someone who notices inconsistencies and asks questions
Able to work independently and use common sense
Persistent enough to follow things through to completion
Comfortable dealing with everyone from drivers and suppliers to accountants and management
Able to communicate clearly and respectfully
Someone who enjoys improving systems rather than simply maintaining them
Transport or logistics experience would be useful, but it isn't essential.
We'll teach you how our side of things works.
What We Offer
$35 per hour ($70,091 p.a. including leave loading) plus super
Permanent full-time employment
Monday to Friday, 9am to 5pm – 38 hours a week, with an unpaid lunch break
Training in our systems and how a transport business runs
A down-to-earth team where your work is noticed and valued
A three-month review to see how you're going, with ongoing opportunities to develop your skills and earn more as you take on more responsibility
About ECFD

We're a practical, hands‐on business where people work together to get things done.
Transport can be unpredictable, so we value people who communicate well, take responsibility, use their initiative and help solve problems.
We're looking for someone who will become a reliable and valued part of our team.
