At Willowtree Planning, we turn development ideas into reality – guiding projects from first concept through to approval. We make the complex simple, and we do it through strong teamwork, a commitment to quality in everything we deliver, and a genuine drive to achieve the best outcomes for our clients.
About the role:
We’re looking for an organised, people-focused HR qualified to join us part-time (2 days per week) for 12 months, as a parental leave cover. You’ll look after the everyday running of People & Culture at Willowtree – keeping our records, systems and processes in order, and making sure our people have a great experience working with us. Your role will cover recruitment, onboarding and offboarding, HR systems and compliance, training, reporting, engagement and culture. You’ll also have real scope to help us work smarter, finding ways to simplify our processes using digital tools, automation and AI.
What you’ll be doing:
HR Administration & the Employee Lifecycle
- Keep employee files, records and HR systems accurate and current.
- Manage contracts, variation letters and other day-to-day employee correspondence from our approved templates.
- Keep our org charts and other team information up to date.
- Track important dates – probation reviews, contract end dates and visa or work rights expiries – and flag what’s coming up to leadership in a timely manner.
- Be a first point of contact for everyday staff questions, referring anything that needs HR advice or a judgement call.
Willowtree New Starters & Exits
- Look after new starters from the moment they accept an offer through to their first day, including paperwork and welcome packs.
- Draft the new starters induction schedule and book in all training meetings, using an approved template.
- Manage the exit process for departing staff, including offboarding checklists, exit interviews, removing system access and collecting company property.
Recruitment
- Publish approved job ads and keep them current.
- Shortlist applications against the agreed criteria for each role.
- Schedule interviews and keep candidates informed at every stage.
- Arrange reference checks, background checks and any other pre-employment requirements.
- Keep recruitment and candidate records complete and accurate.
- Prepare contracts and onboarding paperwork for successful candidates.
Systems, Compliance & Reporting
- Set up and remove employee profiles across our HR systems.
- Keep employee data consistent across our People & Culture systems and help with regular audits of employee files and documentation.
- Track mandatory training and chase up anything outstanding.
- Look after our People & Culture templates, forms and procedures.
- Maintain reporting records including turnover reports, birthdays, employee tenure etc.
Culture & Engagement
- Run our engagement surveys – collating feedback and tracking follow-up actions.
- Manage our employee benefits.
- Work with the Operations team to plan team events and cultural initiatives.
Training & Development
- Organise internal and external training sessions.
- Schedule mandatory, technical and role-specific training.
- Keep training records up to date and follow up on any outstanding requirements.
Better Ways of Working – Process, Technology & AI
- Continuously look for opportunities to simplify and improve the way People & Culture works.
- Refine our workflows, checklists, templates and procedures.
- Investigate how current and emerging technology – including AI and automation – could cut down on repetitive admin and make our processes run more smoothly.
- Bring your own ideas for how the team could work more efficiently and effectively.
What you’ll bring:
- Roughly 1–3 years in an HR or People & Culture administration or coordination role, with hands-on experience across areas such as recruitment, onboarding or employee administration.
- Excellent organisational skills and an eye for detail – you can juggle competing priorities and see tasks through to the end.
- Clear, confident written and verbal communication, and the ability to work comfortably with people at every level of the business.
- Good judgement and the discretion to handle confidential information with care.
- You pick up new systems quickly and are genuinely interested in digital tools, automation and AI.
- A warm, approachable and cooperative style, with the initiative to get things done and a drive to keep improving.
- A curious mindset – you enjoy finding simpler, better ways of doing things and are happy to test new approaches.
- Qualifications in HR, business or a related field.
What we offer:
- A varied role with real ownership of the People & Culture function.
- Close working relationships with our Managing Director and senior leaders.
- A clear, well-structured work rhythm, with continued support from our existing HR Manager.
- Annual remuneration review and bonus structure to reward top performance.
- Staff wellness contribution per annum.
- Value Awards to recognise employee’s exceptional behaviour aligning with our values.
If you’d like to be a part of a progressive, enthusiastic and confident team, apply now by submitting your CV and Cover Letter.
We're reviewing applications as they arrive, so we encourage you to apply early.
