Act as the first point of contact for clients by phone, email and in person, responding promptly and professionally.

Build and maintain strong, long-term relationships with new and existing clients.

Prepare and process new business, renewals and policy changes.

Follow up on outstanding client requests.

Liaise with insurers, underwriters and other third parties on behalf of clients.

Claims assistance

Guide clients through lodging a claim and explain what to expect at each stage.

Collect and check claim documentation, then lodge claims with insurers.

Liaise with insurers, assessors, loss adjusters and repairers to progress claims.

Monitor open claims and keep clients regularly updated on progress.

Maintain accurate claim records and file notes.

Office management

Oversee the day-to-day running of the Hillarys office, including supplies, equipment and facilities.

Manage incoming mail, phone calls and general enquiries.

Data entry and administration

Enter and update client, policy and claims information in our client management system accurately and on time.

Maintain organised electronic and physical filing systems.

Prepare renewal notices, correspondence, reports and documents.

Compliance and quality

Follow our compliance obligations, including relevant codes of practice, privacy requirements and internal procedures.

Keep accurate file notes and records to support audits and compliance reviews.

Identify ways to improve processes, service and efficiency.

Other duties

Support the team with general administrative tasks as required.





Contribute to marketing and client communication activities when needed.

Any other reasonable duties as directed by management.
