Executive Assistant to Business Development Lead

Are you the kind of EA who’s always one step ahead, the person who makes sure nothing falls through the cracks? This is your chance to be the trusted right hand to our Business Development Lead. You’ll take ownership of the coordination, admin and pipeline management that keeps a busy sales function moving, so they can focus on what they do best: winning work.

FORGE is a thriving design and construction firm with a robust foundation and ambitious growth plans. At FORGE, we forge connections between people, place and nature by creating the most sought-after outdoor structures in Australia. We don’t just work, we trailblaze.

We craft awesome experiences, from products to client interactions, and our commitment to quality is unwavering. Our evolution has shaped us into an award-winning, design-driven engineering team. We collaborate with local governments, landscape architects and visionary developers to enrich landscapes and unite communities nationwide.

In this role, you’ll be the central point of organisation for our BD Lead. You’ll manage their inbox, diary and travel, keep our CRM sharp, and make sure every client meeting is well prepared and every follow-up happens. It’s a role with real commercial impact, because your work directly shapes how much time our BD Lead spends in front of clients.

What You’ll Do:

- Own the inbox and diary: Triage email daily, draft correspondence on the BD Lead’s behalf, and protect time for client meetings, outbound calling and deal work.

- Keep the pipeline sharp: Own CRM accuracy across contacts, accounts and opportunities. Log meeting notes and actions within 24 hours, and flag stalled deals before they go cold.

- Set up every meeting for success:

Prepare pre-meeting briefings, manage follow-ups, and plan interstate and regional travel so each trip packs in more client time.

- Make handovers seamless: Coordinate the handover of opportunities to our sales team, including handover packs, CRM updates and follow-through.

- Turn data into insight: Compile weekly pipeline summaries, monthly and quarterly reports, and BD KPI data for board packs and leadership reviews.

- Keep the rhythm running: Coordinate weekly pipeline meetings and client events like lunch and learns, CPD sessions and project tours.

What We Offer:

- Real impact: This role exists to help us win work, so your contribution shows up directly in business results.

- Room to innovate: We actively encourage ideas to streamline and automate, from CRM workflows to AI tools.

- Work that matters: Join a Team 1st culture creating bridges, playgrounds, boardwalks and shade structures that bring communities together across Australia.

- Easy commute: Free on-site parking at our Norwest office, or a short walk from the Metro

What We’re Looking For:

- 2+ years’ experience as an Executive Assistant, Sales Coordinator or similar, ideally supporting a senior, client-facing leader.

- Hands-on CRM experience (HubSpot, Salesforce or equivalent).

- Advanced Microsoft 365 skills, particularly Outlook, Excel and PowerPoint.

- Experience preparing sales reports, pipeline summaries or briefing packs.

- Excellent written communication, and confidence drafting on an executive’s behalf.

- Discretion, sound judgement and a calm head when priorities shift.

- Bonus points for a B2B sales background, experience with local government or construction clients, or event coordination experience.
