UTAS Stadium & Silverdome, Launceston TAS
At Gema Group, we believe the best events are built on great people. We’re a family-owned hospitality and catering business, and since 1984 we’ve grown from humble beginnings into the team behind the food and service at some of the country’s most iconic events, including the Australian Open, Formula One Grand Prix and Supercars Championship. Across our 18 venues in Victoria, New South Wales, Queensland, and now, Tasmania, one thing hasn’t changed: we look after our guests and we look after our people.
We’re looking for a Workforce & Functions Coordinator to join our team at UTAS Stadium and the Silverdome in Launceston. It’s a varied role for someone who loves both people and events.
About the Venues
UTAS Stadium sits within the Inveresk and York Park Precinct. It is the Tasmanian home of the Hawthorn Football Club and the Northern Bombers, the northern home of the Hobart Hurricanes, and host to a broad range of sporting and entertainment events. From 2028 it will also become the northern home ground for the Tasmania Devils as they enter the AFL and AFLW competitions.
The Silverdome is a multipurpose venue with capacity for up to 5,000 guests, set in the tranquil bushland of Kate Reid Reserve. It is the northern home of the Tasmania JackJumpers and the Tasmanian Institute of Sport, and it has the southern hemisphere’s first indoor velodrome. It hosts everything from concerts and exhibitions to conferences, meetings and training events.
About the Role
Reporting to the Venue Manager, you’ll have two key areas to look after. On the workforce side, you’ll make sure our venues are fully staffed with a qualified, prepared and engaged casual team. That means building efficient rosters, keeping compliance tight and managing labour costs.
On the functions side,
you’ll be the go-to person for our corporate and functions clients, from first enquiry to post-event follow-up, so that every conference, function and hospitality experience runs seamlessly. It’s a fast-paced, highly organised role that suits a strong communicator who stays calm when plans change at the last minute.
Key Responsibilities
Workforce & Rostering
- Build and maintain weekly and event-day rosters, matching staff numbers to expected attendance and function requirements
- Monitor shift coverage while keeping labour costs within budget
- Coordinate staff across both venues and handle last-minute roster changes quickly
- Coordinate local recruitment, screening and onboarding of casual staff, including venue inductions and GEMA’s workplace and uniform standards
- Collect, verify and file staff qualifications such as RSA, First Aid and White Cards, so that no one is rostered without valid licensing
- Manage workforce administration, keep personnel files organised and help resolve payroll or clock-in issues
- Work with the People & Culture team so rostering aligns with company policy and Modern Award requirements
- Act as the main point of contact for staff queries, and help keep casual team morale high
Functions & Corporate Hospitality
- Promote and sell functions, conferences and corporate hospitality packages across both venues
- Build and maintain strong relationships with corporate clients,
tailoring packages to their needs
- Coordinate functions and hospitality events from planning through to delivery and post-event follow-up
- Work closely with the kitchen, venue operations and external suppliers to deliver a seamless guest experience
- Monitor guest feedback and look for ways to keep improving the experience
- Track budgets, revenue and sales data to help identify growth opportunities
Compliance
- Follow Gema's Integrated Management System (IMS) and Quality, Safety and Environment policies
- Keep training, credential and event records audit-ready, and help close any gaps quickly
About You
- Experience in rostering, staffing coordination or HR administration, and/or functions, events or corporate hospitality, ideally in a hospitality or venue environment
- Confident using rostering and workforce management software
- A practical understanding of casual award conditions and penalty rates
- Robust sales and customer service skills, with a genuine focus on the client experience
- Highly organised, with a knack for keeping files, spreadsheets and details in order
- Friendly but firm communication skills that work as well with a large casual team as with corporate clients
- Calm under pressure and good at solving problems on the fly
- Flexibility to work across event schedules, including nights, weekends and public holidays
Why You’ll Love It Here This is a role where no two days look the same. One day you’ll be lining up the team for a sold-out game, and the next you’ll be helping a client plan the perfect conference. You’ll be part of a close-knit venue team and backed by a family business that genuinely values its people, and with Launceston’s events scene on the rise, you’ll be growing right along with it.
