About the opportunity

Kadant Australia Pty Ltd is seeking an experienced and dependable Accounts Assistant / Payroll professional to support accurate financial administration and the timely processing of employee pay.

This role will suit someone who enjoys working with numbers, takes pride in getting the details right and understands the importance of handling financial and employee information with care. You will work closely with colleagues across the business, helping keep accounts organised, payments on track and payroll records accurate.

Alongside relevant experience, we value an approachable manner, sound judgement and a strong record of reliability. We are looking for someone who can resolve queries respectfully, adapt to changing priorities and contribute to a supportive working environment.

Key responsibilitiesAccounts payable and receivable

- Check, code and enter supplier invoices, obtaining the necessary approvals before payment.
- Reconcile supplier statements and investigate discrepancies, duplicate entries or missing documentation.
- Prepare payment runs for review and authorisation in accordance with company procedures.
- Assist with customer invoicing, payment allocation and follow-up on outstanding accounts.
- Respond professionally to supplier and customer account enquiries.

Payroll administration

- Prepare and process payroll within agreed deadlines and approval procedures.
- Check timesheets, leave records, allowances, deductions and changes to employee details before processing.
- Apply relevant employment terms,

awards or enterprise agreements as applicable, escalating questions where specialist advice is needed.
- Assist with superannuation calculations, PAYG withholding and Single Touch Payroll reporting obligations.
- Maintain accurate payroll records and support authorised onboarding, employee changes and final-pay calculations.
- Respond to employee pay queries discreetly and coordinate corrections where required.

Reconciliation and reporting

- Complete bank, credit card and relevant ledger reconciliations, investigating unexplained differences.
- Reconcile payroll reports to accounting records and assist with the preparation of payroll journals.
- Support month-end and year-end activities, including schedules and supporting documentation.
- Assist with information required for Business Activity Statements, payroll tax and other statutory reporting, under appropriate review.
- Prepare routine accounts and payroll reports and provide supporting records for audits when requested.

Controls, confidentiality and improvement

- Protect employee, banking, supplier and company information through secure handling and appropriate access controls.
- Follow approval limits, payment-verification procedures and separation-of-duties requirements.
- Independently verify changes to payment details through approved channels and escalate suspicious requests.
- Maintain orderly records and identify practical ways to improve accuracy, efficiency and consistency.

What you will bring

- Demonstrated experience in accounts administration, payroll or a combined finance-support role.
- A reliable record of accurate work, meeting deadlines and handling confidential information responsibly.
- Working knowledge of Australian payroll processes, superannuation, PAYG withholding and Single Touch Payroll.
- Experience with accounts payable, accounts receivable and reconciliations.

- Confidence using accounting or payroll software and spreadsheets, with the ability to learn new systems.
- Robust attention to detail and the confidence to investigate discrepancies rather than overlook them.
- Clear communication skills and a patient, considerate approach to employee and supplier enquiries.
- The ability to organise competing priorities, work independently and collaborate effectively with colleagues.

Qualifications in accounting, bookkeeping, payroll or a related discipline will be regarded favourably. Equivalent practical experience will also be considered.

Working arrangements and remuneration

Our preference is for this role to be based at our Springvale location. We are also open to discussing work-from-home arrangements where secure access, confidentiality, collaboration and service standards can be maintained. Agreed in-person attendance may still be required.

The starting salary for full-time employment is AUD $9,298 per month (AUD $111,576 per annum), plus applicable superannuation and statutory entitlements. An appropriate housing allowance will form part of an agreed work-from-home offer, subject to documented terms.

We welcome discussions about permanent full-time employment or a 12-month fixed-term employment contract. Subcontract, freelance and self-employed arrangements may also be considered where the scope of services and actual working relationship support a genuine independent engagement. These arrangements will have separately negotiated fees, deliverables and conditions; the advertised employee salary does not represent contractor fees.

How to apply

Please submit your current CV and a brief cover letter outlining your accounts and payroll experience, the systems you have used and your preferred working and engagement arrangements. Include examples that demonstrate your accuracy, reliability and ability to manage deadlines.

Kadant Australia Pty Ltd welcomes applications from suitably qualified candidates from diverse backgrounds. Reasonable adjustments can be discussed during the recruitment process.
