Townsville
This is a work from home from home role, with some travel required.
ABOUT THE ROLE
Learning Environments Australasia (LEA) is looking for an organised, proactive and detail focused Awards Coordinator to manage the delivery of our Regional and Chapter Awards programs across Australia and Aotearoa Recent Zealand.
This is a unique, flexible, work from home role combining awards administration, project coordination, stakeholder management, publication production and event delivery.
You’ll take responsibility for the administration of our annual Learning Environments Australasia Design (LEAD) Awards, as well as supporting annual and biennial awards delivered by our Chapters throughout Australasia.
If you’re highly organised, comfortable with owning a process from beginning to end, and enjoy working with a diverse community of highly engaged professionals and volunteers, we’d love to hear from you!
WHAT YOU'LL DO
Coordinate the LEAD Regional Awards and participating Chapter Awards processes from launch and eligibility checks through to judging, results and presentation. Configure and administer AwardsForce, maintain timelines and provide guidance on awards processes and requirements to entrants, jurors and Chapter representatives.
Maintain accurate records, images, permissions and documentation, with careful quality checks across entries, judging data, results and published materials.
Act as the central contact for awards stakeholders and suppliers, and work with LEA staff on awards communications through Zoho and other LEA systems.
Coordinate our annual printed Contemporary Learning Spaces publication, collecting and checking project content, images and credits, and liaising with suppliers through delivery.
Prepare certificates, citations and presentation materials and coordinate the awards elements of the LEAD Awards Dinner, including run sheets, award sequencing and speaker notes.
Coordinate and undertake the physical installation, presentation and pack down of the LEAD Awards exhibition at LEA’s Annual Conference, working with LEA staff, volunteers, and suppliers. This is a hands on and physically active component of the role.
Provide specialist advice on awards administration, maintain sound processes and quality assurance, and recommend practical improvements. During your first 12 – 18 months, you’ll document the role and develop an Awards Operational Manual.
ABOUT YOU
You’ll be someone who enjoys taking responsibility for a process, keeping people informed and getting the details right. You can work independently while building effective relationships with a community of staff and volunteers across Australasia.
You’ll bring:
Excellent administration, project coordination and records management skills, with experience managing concurrent deadlines accurately.
Strong written communication and stakeholder management skills.
The ability to manage your own workload and deadlines while working from home.
Confidence collaborating with volunteer committees and stakeholders across locations and time zones.
Strong organisational and problem solving skills, an eye for detail and a practical approach to improving processes.
It would also be helpful to have:
Experience with AwardsForce or a comparable awards, grants, submissions or judging platform.
Experience with Zoho, or the ability to quickly learn CRM, database and communications platforms.
Basic graphic design and document production skills, including Canva, Adobe Creative Suite or similar tools.
Experience coordinating awards, publications, events or professional association programs.
Experience in a membership organisation, not for profit or volunteer led organisation.
TRAVEL + ONSITE REQUIREMENTS
The role requires travel within Australia and to Aotearoa New Zealand to support conferences, awards programs and related events, including active participation in multi‑day conferences and exhibitions.
Frequency and duration vary with the events calendar.
The Annual Conference is usually held in May and typically requires four days and three nights onsite, from Tuesday to Friday. Reasonable adjustments to travel arrangements will be considered.
Sustained physical activity is an inherent requirement of the onsite component, including extended periods of standing, manual handling and transporting exhibition equipment during setup, delivery and pack down. Reasonable adjustments will be considered where required.
LEA provides required travel and accommodation, along with Annual Conference registration and a LEAD Awards Dinner ticket.
THE HOURS
This is a casual, project‑based position with variable hours based on operational requirements and LEA’s annual awards calendar. As a guide only, this role is expected to require approximately 350 – 450 hours per year.
Actual hours may be higher or lower depending on operational requirements, the number of awards programs conducted and annual organisational requirements.
Regional LEAD Awards activity is concentrated mainly between September and May, while Chapter Awards generally run between June and November. Workload fluctuates with peak periods around judging, publication production and the Annual Conference.
You’ll need to be available during agreed peak delivery periods. Key dates and anticipated workload will be communicated as early as practicable, with work undertaken within agreed working arrangements.
