About Rosewood
At Rosewood, our mission is to provide premium care and enhance the quality of life for older people. As a respected not-for-profit aged care provider in Western Australia, we are guided by our values of Humility, Ownership, Mindfulness and Empathy.
We believe exceptional care starts with an inclusive workplace where every person feels respected, valued and empowered to be themselves. We are committed to building a diverse workforce that reflects the communities we serve and creating an environment where everyone has the opportunity to grow and succeed.
About the Role
Are you an experienced Executive Assistant who thrives on staying one step ahead, bringing order to competing priorities and making things happen behind the scenes?
Rosewood Care Group is looking for a proactive, highly organised and professional Executive Assistant to support our Chief Executive Officer (CEO) and work closely with our Executive Leadership Team and Board.
This is an opportunity to take on a varied and rewarding role where your organisation, judgement and attention to detail will make a genuine difference. From coordinating executive priorities and preparing important communications to supporting Board and committee meetings, you will help ensure the right information reaches the right people at the right time.
If you enjoy being the person who keeps things moving, anticipates what is needed and takes pride in delivering high-quality work, we would love to hear from you!
Key Responsibilities
- Executive support: Managing the CEO's diary, correspondence, travel arrangements and meetings, while anticipating priorities and ensuring important commitments are followed through.
- Board and committee coordination: Organising meeting schedules, preparing agendas and meeting packs, taking accurate minutes and tracking agreed actions.
- Executive Leadership Team support: Coordinating meetings, collating reports, maintaining action registers and helping keep priorities and deadlines on track.
- Governance administration: Maintaining accurate records, registers and governance documents, coordinating Board member inductions and supporting established governance processes.
- Communication and engagement: Coordinating the CEO newsletter for residents, families and employees,
preparing professional correspondence and supporting stakeholder communications.
- Events and projects: Assisting with Board workshops, corporate events, stakeholder engagement and projects as directed by the CEO.
- Confidentiality and coordination: Handling sensitive information with discretion, building effective working relationships and ensuring enquiries and emerging issues are directed to the appropriate people.
About You
You are someone who takes initiative, thinks ahead and enjoys making life easier for the people you support. You are comfortable managing competing demands, know when to act and when to escalate an issue, and understand the importance of accuracy, confidentiality and professional judgement.
Essential
- Experience in an Executive Assistant, Personal Assistant or senior administrative support role.
- Strong organisational and time-management skills, with the ability to manage competing priorities and deadlines.
- Excellent written and verbal communication skills, including preparing professional correspondence and accurate meeting minutes.
- A proactive, solutions-focused approach and the confidence to work independently.
- Strong attention to detail and a commitment to producing accurate, high-quality work.
- Discretion, professionalism and sound judgement when handling confidential or sensitive information.
- Well-developed interpersonal skills and the ability to build positive working relationships across different levels of an organisation.
- Advanced Microsoft Office skills and confidence learning new systems.
- Flexibility, adaptability and a willingness to contribute to a collaborative team environment.
- Qualifications in business administration, governance, management or a related field, or equivalent demonstrated experience.
