About the Role
PAUS is looking for an organised, capable Practice Manager to work closely with our Founder and Director, Dr Louise Barnett.
This is a new role and an important one. You'll take ownership of the business side of the practice, including operations, finance administration, people administration, systems and client service, so our clinical team can focus on scanning and reporting.
You'll keep the clinic running smoothly day to day, make sure nothing falls through the cracks, and help turn the Founder's plans for growth into organised, finished projects.
If you like bringing order to a busy workplace, enjoy being the person everyone relies on, and want to help build a business rather than just maintain one, this role will suit you.
About Perth Animal Ultrasound
Perth Animal Ultrasound is a veterinary diagnostic imaging practice based in O'Connor, WA. We provide abdominal ultrasound, echocardiography, digital radiography, Holter monitoring and a mobile ultrasound service, working with referring veterinary clinics across Perth and regional WA.
Our purpose is simple: bringing clarity and compassion to the care of every pet. Vets refer to us for reliable answers, and pet owners trust us at stressful moments. We're proud of our 5.0-star Google rating and the relationships we've built with clinics.
PAUS began in 2019 as a one-person mobile service and now runs a purpose-built clinic with a team of vets and nurses. Our vision is to be WA's trusted first choice for veterinary diagnostic imaging, and we're building the team and systems to get there, including education and training for the wider veterinary community.
Key Responsibilities
- Clinic operations: Keep the day running smoothly, from the appointment book and case flow to rosters, premises, equipment servicing, suppliers and stock.
- Finance and administration: Be the main link with our bookkeeper and accountant, oversee payroll and accounts, manage invoicing and debtor follow-up, and prepare monthly reporting for the Founder.
- People and team: Run recruitment, onboarding and HR administration, organise team meetings and training, and supervise our virtual assistants.
- Client and referrer service: Make sure referring clinics and pet owners get prompt, friendly and professional service, and handle complaints and escalations calmly.
- Compliance and risk: Keep registrations, licenses, insurance, radiation safety and workplace health and safety obligations current and on schedule.
- Systems and processes: Own our SOP library and business systems, and find smarter ways to work, including using technology and AI where it helps.
- Growth and projects: Support the Founder's projects, including seminars and CPD events, marketing, referrer relationships and recent services.
Skills, Experience & Attributes
- Previous experience as a Practice Manager, Operations Manager, Office Manager or senior administrator, ideally in a small business.
- Experience with invoicing, payroll and accounts, including working alongside an external bookkeeper or accountant.
- Strong technology skills and confidence learning new software. Experience with Google Workspace or Microsoft Office and cloud accounting software is expected.
- Exceptional organisation and time management, with the ability to juggle several priorities without dropping the ball.
- Excellent written and verbal communication, with a confident, warm phone manner.
- Initiative and follow-through. You notice what needs doing and take responsibility for getting it done.
- Discreet and trustworthy, with sound judgement when handling confidential client, staff and business information.
- Experience in a veterinary, medical or allied health practice is advantageous, but not essential.
The Person We're Looking For
You're the person who quietly makes everything work. You get real satisfaction from a well-run day, a tidy set of accounts and a process that finally runs without anyone thinking about it.
You like structure and clear systems, but you're calm when a vet is running late, the phone won't stop and the courier is at the door. You can work out what matters most, make a sensible call and keep things moving without needing constant direction.
Most importantly, you want to be a key part of a growing team. You're excited to work alongside a founder, take things off her plate, earn her trust and grow the role as PAUS grows.
This is a full-time, on-site position based at our clinic in O'Connor, WA, Monday to Friday.
