Receptionist , you are: Welcoming patients

and making them feel comfortable, cared for, and confident from the moment they arrive

Managing appointments, phone calls, and emails

with professionalism, warmth, and attention to detail

Coordinating with dentists, hygienists, and nurses

to keep schedules running smoothly and on time

Handling administrative tasks , including patient records, data entry, correspondence, and filing

Processing payments, invoices, and health fund claims

accurately and efficiently

Maintaining accurate patient information

within the practice management system

Supporting day-to-day practice operations , including scanning, documentation, and general office duties

Staying positive, organised, and calm , even during busy periods

Taking ownership of the front desk and patient experience , ensuring a consistently high standard of service

You will

own the patient journey end-to-end

— from initial enquiry through to post-surgery follow-up. Your ability to build trust, communicate value, and confidently guide patients through high-value treatment decisions is what drives success in this role. Key Responsibilities as a Patient Coordinator Convert inbound enquiries into

booked consultations

through structured, high-quality conversations

Present treatment plans, fees, and

finance options

(Humm, Zip, super release, payment plans) with confidence

Guide patients through hesitation and decision-making with

clarity, not pressure

Coordinate complex treatment cases (IV sedation, GA, lab timelines, surgical schedules)

Manage and maintain a

clean, active CRM pipeline

Act as the

key point of contact

between patients, clinicians, and the front-of-house team

About You You’re a strong communicator who builds trust quickly and genuinely enjoys helping people navigate important decisions. You likely bring: Experience in

sales or consultative roles

(healthcare, aesthetics, property,



hospitality, or similar)

Confidence discussing

fees, finance, and closing decisions

High emotional intelligence — you adapt your communication style with ease
