About Our Client
If you're looking for a role where no two days are the same, where your contribution genuinely matters, and where you'll be surrounded by a warm, high-performing team — read on.
Lorg Talent is proud to be partnering with a thriving, boutique immigration law and global recruitment firm based in the heart of Southbank, Melbourne. Our client has built a reputation as the go-to practice for individuals and businesses navigating Australian migration, and their recruitment division operates on the same standard of excellence. Their team of around 20 diverse professionals is tight-knit, energetic, and genuinely collaborative — and they're looking for someone who'll thrive in that workplace.
Their Melbourne offices overlook the Yarra River, they're just 350m from Flinders Street Station, and they work hard — but they also know how to celebrate their wins together.
About the Role
This is a pivotal, hands-on administrative role sitting primarily within the immigration law practice, with some support extended to the recruitment business. You'll be the organisational heartbeat of the team providing administrative, client service and trust accounting support while ensuring the smooth day-to-day operations of the business.
This isn't a heads-down-at-a-desk kind of role. You'll be front and centre — managing the firm's trust account, including receipting, processing transfers, maintaining records, assisting with trust account reconciliations, and ensuring compliance with trust accounting procedures
Your key responsibilities will include:
Legal & Financial Administration
· Managing the firm's trust account — Assisting with trust account reconciliations and ensuring compliance with trust accounting procedures
- Generating,
reviewing, and sending out fee agreements to clients with accuracy and care
· Preparing trust account receipts, statements and transaction records accurately
- Handling daily banking tasks and processing trust and office account transfers
- Creating and managing client invoices and supporting credit control
Client & Communication Support
- Serving as a first point of contact — answering phone and email enquiries with professionalism and warmth
- Managing and monitoring the firm's shared administrative inboxes to ensure enquiries are responded to promptly and appropriately.
- Managing the consultation calendar: booking, confirming, and sending reminders to clients
- Picking up and distributing incoming post
Team & Office Support
- Coordinating team events including regular team meetings, morning teas, and training sessions
- Organising catering, purchasing office supplies and groceries, and ensuring the office runs like clockwork
- Supporting onboarding and offboarding of team members — from systems access and equipment to shared inboxes and templates
- Pitching in wherever needed to support a busy, growing team
About You
You're the kind of person who takes genuine pride in being organised, reliable, and one step ahead. You don't wait to be told what needs doing — you've already done it.
You'll be a great fit if you bring:
- Proven experience as an administrator, ideally within a law firm or professional services environment.
Previous trust account experience is strongly preferred. You understand the pace, precision, attention to detail, and importance of confidentiality required in a client-focused professional practice.
- Strong numeracy skills — you're comfortable working with financial data, trust accounts, invoices, and reconciliations
- Excellent written and verbal English — your emails are clear and professional, and you communicate with confidence, whether talking to a client or a colleague
- Solid MS Office skills — Word, Excel, and Outlook are your everyday tools
- Proficiency in Xero is preferred — candidates with solid experience in a comparable platform such as MYOB will also be considered
- Familiarity with Migration Manager is a real bonus
- The kind of warm, adaptable personality that fits naturally into a diverse, multicultural team
- A Proactive Mindset — you spot what needs doing and you do it
What's on Offer
- A genuinely friendly, inclusive, and collaborative team culture — they mean it
- Beautiful offices overlooking the Yarra River in the heart of Southbank
- Excellent public transport access — just 350m from Flinders Street Station
- Hybrid working arrangements — flexibility once you're settled in
- 9am–5pm, Monday to Friday — a healthy work-life balance is important to the team
- Opportunities for professional development and long-term career growth within a unique dual-practice firm
