About the Role

We are seeking a hands-on, proactive and solutions-driven E-commerce & IT Systems Specialist to manage, support and continuously improve our e-commerce and operational systems.

The role focuses on maintaining and optimising our Shopify websites, inventory management systems, order processing workflows and third-party integrations, while providing reliable day-to-day IT and systems support across the business.

An important part of the position will also involve identifying opportunities to apply AI, automation and emerging technologies to streamline workflows, reduce repetitive manual tasks and improve operational efficiency.

You will work closely with management and different departments to understand existing processes, identify system issues and implement practical improvements.

We are looking for someone who can not only identify problems and recommend solutions, but also take ownership and independently implement improvements.

This is a hands-on technical and systems improvement role, rather than a purely administrative IT support, data analysis or project management position.

Key Responsibilities

1. E-commerce & Business Systems Management

- Maintain, troubleshoot and continuously improve our Shopify websites and related e-commerce systems.
- Investigate and resolve issues involving Shopify apps, product data, orders, inventory synchronisation and third-party integrations.
- Provide technical support for inventory management systems, including Cin7 Core, and assist the Inventory Controller in maintaining accurate stock information.
- Investigate system and data discrepancies across Shopify, inventory, warehouses, order processing and accounting systems.
- Support system configuration, integration testing, troubleshooting and ongoing optimisation.
- Monitor system performance and proactively identify potential issues before they affect business operations.
- Work with external software providers and technical specialists where required, while developing strong internal knowledge and ownership of company systems.

2. AI, Automation & Process Improvement

- Proactively identify inefficient, repetitive or manual processes across different departments.
- Research and evaluate AI tools, automation platforms and emerging technologies relevant to e-commerce and business operations.
- Compare solutions based on functionality, reliability, integration capability, security,



cost and expected business benefits.
- Conduct practical testing and proof-of-concept trials before recommending implementation.
- Implement or coordinate approved automation and system improvement initiatives.
- Take ownership of improvement projects from initial investigation through testing, implementation, documentation and ongoing support.
- Evaluate implemented solutions and measure their impact on productivity, accuracy, operational costs and efficiency.
- Recommend practical improvements using existing software and integrations where appropriate, rather than developing new solutions unnecessarily.

3. IT Support & Systems Administration

- Provide day-to-day IT and technical support to employees across different departments.
- Troubleshoot hardware, software, email, network and system-related issues.
- Manage user accounts, system permissions, access rights and basic IT security requirements.
- Assist with software installation, configuration, updates and maintenance.
- Investigate recurring technical issues, identify root causes and implement sustainable solutions.
- Coordinate with external IT service providers when specialist assistance is required.

4. Data Analysis & Reporting

- Extract, organise and analyse data from Shopify, inventory systems and other business platforms.
- Assist management with sales, inventory, operational and performance reporting.
- Investigate data discrepancies and support improvements in data accuracy and consistency.
- Identify opportunities to automate recurring reports and reduce manual data processing.
- Support departments in using data to improve operational decisions.

5. Marketing Technology & Integrations

- Work with external digital marketing agencies to support website integrations, analytics and technical requirements.
- Assist with Google Analytics, Google Tag Manager, conversion tracking and related marketing technologies.
- Investigate technical issues affecting website tracking, product feeds and marketing integrations.
- Support accurate data flow between e-commerce platforms and marketing tools.

6. Staff Training, Documentation & Knowledge Management

- Train employees across different departments in the effective use of company systems, software and approved AI tools.
- Develop and maintain clear SOPs, system documentation, troubleshooting guides and training materials.
- Ensure new systems and improvements are properly implemented and adopted by relevant teams.
- Maintain company-developed systems, integrations,



automation workflows and technical documentation within company-approved environments.
- Support appropriate data security, confidentiality and access controls across business systems.

About You

We are looking for someone who combines practical e-commerce systems experience, strong technical problem-solving skills and a genuine interest in improving business operations through technology.

Essential Requirements

- Minimum 2 years of relevant professional experience in e-commerce, retail technology or business systems support, with practical exposure to e-commerce operations.
- Hands-on experience with Shopify, including system configuration, troubleshooting, apps or integrations.
- Good understanding of e-commerce operations, including product management, order processing, inventory and fulfilment.
- Strong general IT and systems troubleshooting skills.
- Ability to independently investigate technical issues, identify root causes and implement practical solutions.
- Good understanding of business systems, integrations and data flows.
- Solid analytical and problem-solving skills.
- Proficiency in Microsoft Excel or Google Sheets.
- Ability to communicate technical concepts clearly to non-technical employees.
- Strong initiative, attention to detail and organisational skills.
- Ability to work independently, manage priorities and take ownership of tasks through to completion.
- Genuine interest in AI, automation and emerging technologies, with the ability to independently research, evaluate and test new tools.

Highly Regarded

- Experience with Cin7 Core, ERP, inventory management or order management systems.
- Experience with APIs, webhooks, system integrations or data synchronisation.
- Experience with automation platforms such as Make, Zapier, n8n or similar tools.
- Practical experience implementing AI tools or AI-assisted workflows in business operations.
- Knowledge of SQL, Power BI or other data analysis and reporting tools.
- Experience supporting multi-channel e-commerce operations and online marketplaces.
- Familiarity with Google Analytics, Google Tag Manager, Google Ads or Meta tracking integrations.
- Experience working with external technology providers or software implementation partners.
