About the role

Mechanical Project Services is seeking an experienced and analytical Service Systems Administrator to join our Osborne Park team. This is a full-time position supporting our service operations through systems administration, data analysis and reporting.

Working closely with our Service Systems Coordinator, you will provide administration and data support across our national service operations. Your responsibilities will include maintaining accurate asset and maintenance contract records, reviewing information for discrepancies, assisting with reporting and supporting the day-to-day administration of our service management systems.

Key responsibilities

- Reviewing and comparing contracts and asset lists to identify discrepancies, missing information and differences in scope
- Maintaining, cleansing and reconciling asset registers and service records
- Using Excel to compare datasets, analyse information and prepare reports
- Investigating how our service systems work, including how information is entered, maintained and reported
- Checking data accuracy and following up discrepancies and outstanding information
- Preparing clear summaries of findings and highlighting matters requiring review or a decision
- Creating and maintaining procedures, user guides, checklists and supporting documentation
- Identifying and assisting with improvements to systems and administrative processes
- Assisting in inputting Maintenance contracts to the Service system and confirming their accuracy
- Supporting staff with day-to-day system queries and coordinating more complex issues with the appropriate support provider

About you

- Previous experience in administration, operations support, systems administration or a similar role
- Strong Excel skills, including tables, filters, XLOOKUP, pivot tables and data cleansing
- Excellent attention to detail and the ability to identify inconsistencies across documents and datasets
- Strong analytical skills and a methodical approach to investigating and resolving problems
- Confidence learning unfamiliar software and understanding how systems and processes work
- Robust organisational and time-management skills
- The ability to work independently, manage competing priorities and follow tasks through to completion
- Clear communication skills and the ability to explain findings and prepare practical instructions
- Good skills in other Microsoft Office applications
- Sound judgement when handling confidential business and customer information

Experience with Power BI, Power Query, or Aroflo would be advantageous but is not essential. Experience with asset registers, maintenance contracts, service management systems or AI-assisted workflows would also be advantageous, as would experience within a service, trade or construction environment.

This role would suit someone who enjoys investigating how things work, making sense of detailed information and taking ownership of tasks. You will be comfortable asking questions, checking your findings and recognising when an issue needs further review.

If this sounds like the right opportunity for you, please apply through SEEK and include your current resume and a brief cover letter outlining your Excel skills and relevant experience.
