We are seeking an organised, motivated and customer-focused Automotive Service Coordinator & Administrator to join our team. This is a hands-on coordination and administration role responsible for managing the complete job process, from initial customer enquiries and bookings through to job allocation, completion, invoicing and follow-up. Our workshop provides truck tyre fitting and puncture repairs, passenger vehicle tyres, general mechanical repairs and vehicle servicing. The successful applicant will play a key role in coordinating daily workshop and mobile tyre service operations, ensuring jobs are completed efficiently, customers are kept informed and all administration is handled accurately.
Key responsibilities
Answer incoming phone calls and respond to customer enquiries
Schedule passenger vehicle servicing, mechanical repairs, tyre fitting and puncture repairs
Coordinate truck tyre fitting, puncture repairs and mobile breakdown services
Prepare customer quotations and follow up on outstanding quotes
Communicate with customers regarding bookings, job progress,
additional work and completion
Manage urgent bookings and breakdown enquiries
Coordinate the daily workflow of mechanics, tyre fitters and mobile service technicians
Allocate jobs based on technician availability, job requirements and priority
Create and maintain job cards, bookings and customer records
Process completed jobs and prepare accurate invoices
About you
Robust organisational and time-management skills
Excellent telephone manner and customer service skills
Ability to coordinate multiple jobs and competing priorities
Positive computer skills and attention to detail
Confidence communicating with customers, technicians and suppliers
Ability to work independently and take ownership of daily responsibilities
Experience in automotive workshops, tyre retail, service advising or job coordination is highly regarded
Knowledge of vehicle servicing, mechanical repairs and tyres will be an advantage
