Sales Operations Coordinator, IT Solutions Provider

You get things where they need to be. Every order our clients place runs through Operations: raised, bought, tracked and delivered. This is a new seat. You'll be our Operations person on the ground in Sydney, working side by side with our Operations lead in the Philippines to keep every order moving and never let a stuck one go quiet.

Virtu is an Australian IT solutions provider, established in 2008. We supply laptops, devices, networking, software licensing and professional services from vendors like Lenovo, HP, Apple, Microsoft and Cisco to corporate and education clients across Australia.
We are a team of Virtu Victors who move fast. Every process is written down in our own Manual, and our in-house platform (VMS) shows every order, its status and what needs attention today. You won't be chasing spreadsheets.
What you'll do
- Process orders rapid. Turn accepted sales orders into supplier purchase orders the same day, with the right supplier, SKU, quantity and delivery details. Around 250 orders a month come through this desk.
- Own our inventory. Get our Alexandria storeroom properly organised and keep it that way: receive and label stock, run regular stocktakes, and keep the stock register in VMS accurate so every item is accounted for.
- Manage our 3PL partners. Coordinate stock held at third-party logistics warehouses: what is arriving, what is on hand, what ships when, with the paperwork right.
- Source smart. Buy through our core distributors (Ingram Micro, Dicker Data, Synnex) and find stock elsewhere when the client's timeline needs it.
- Chase every stuck order. Track ETAs, follow up suppliers, and give every delayed order a next action and a date. Clients and account managers hear from you before they have to ask.
- Deliver and receive.
Arrange freight, book deliveries, handle client-specific delivery requirements, and sort out damaged or missing items.
- Fix post-sale issues. Returns and RMAs, warranty claims, Apple DEP enrolment, and licensing delivery problems.
- Start each day on exceptions. Clear what needs recovering first, then work the queue.
What you bring
Must have:
- Follow-through. You close loops. A supplier that hasn't replied gets chased, not forgotten.
- Sharp attention to detail: the wrong SKU or the wrong delivery address gets caught by you, not the client.
- Clear, quick written communication with clients, suppliers and colleagues.
- Hands-on: You're happy to pack and ship orders, receive deliveries and move stock around our storeroom, including lifting boxes up to about 10 kg.
- Comfortable working in systems all day (ERP, CRM, Microsoft 365).
Nice to have
- 1+ years in order processing, purchasing, logistics or customer operations.
- Experience at an IT reseller, MSP or distributor.
- Working with 3PL warehouses or freight forwarders, including export paperwork.
- Distributor portals (Ingram Micro, Dicker Data, Synnex) or vendor programmes (Lenovo, HP, Apple).
- Apple Business Manager / DEP, or software licensing delivery.
