Department: Planning and Regulation
Reports to: Manager Planning and Regulation
Salary Range: $74,512 - $86,595 per annum + superannuation
Be the Backbone of Our Planning Team!
Are you an organised, customer-focused administration professional who thrives in a fast-paced, service-focused environment where no two days are quite the same? Do you enjoy working with people, solving problems and making sure the details are right?
We’re looking for a proactive Planning Administration Officer to play a vital role in keeping our Planning and Regulation team running smoothly. You’ll be the central point of coordination for a wide range of planning and certification applications, providing essential administrative support to our planners and certifiers while helping residents, builders, developers and other stakeholders navigate the planning and development process. This is an opportunity to take ownership of key processes, build strong working relationships and make a tangible contribution to the delivery of Council services.
At the heart of this role is the administration of the NSW Planning Portal and the coordination of applications from lodgement through to determination and approval. You’ll receive and check Development Applications, Complying Development Certificates, Construction Certificates, Occupation Certificates and Section 68 Local Government Approvals, ensuring documentation is complete, fees are quoted and paid, referrals are distributed, correspondence is recorded and approvals are processed accurately. You’ll prepare routine correspondence, register private certifier applications, coordinate inspections, liaise with applicants and builders, and ensure plans and supporting documents are correctly uploaded and maintained. You’ll also contribute to monthly reporting, advertising requirements, website and form updates, property records and statutory levy and contribution reporting. With legislated timeframes and compliance requirements to meet, your attention to detail, sound judgement and ability to prioritise competing demands will be essential.
This is not just a data entry role. You’ll be the glue that connects the team, helping planners, certifiers, customers and other stakeholders stay informed and keep applications moving. You’ll need to be confident communicating with a diverse range of people, including customers who may be frustrated or dissatisfied, and able to respond with professionalism, empathy and resilience. When a process hits a roadblock, you’ll take a practical, solutions-focused approach to resolving issues, following up outstanding information and helping the team stay on track. You’ll enjoy working within established procedures while recognising that every application and customer interaction brings something different.
If you take pride in getting things done, communicating clearly, maintaining accurate records and delivering great service—even when things get busy—you’ll be well suited to this role.
To succeed, you’ll bring a Certificate III in a relevant field and/or extensive administration experience, along with advanced word processing skills, excellent written and verbal communication, strong organisational and time management abilities,
and experience with filing and records management. Experience in local government planning and strong working knowledge of the NSW Planning Portal is highly desirable. Just as importantly, you’ll be reliable, motivated, adaptable and committed to providing courteous, respectful service to the community. You’ll understand the importance of confidentiality, process compliance, and getting the details right the first time. A current Class C driver licence is also required.
If you’re ready to bring your initiative, people skills and eye for detail to a role where your contribution keeps an entire team moving, we’d love to hear from you.
