Experienced NDIS Intake Officer - Mildura
Experienced NDIS Intake Officer - Mildura
Value Care Limited | Mildura VIC
Full time/ Part-time | On-site
Own the intake function. Drive enquiries to service commencement.
Value Care is a growing NDIS provider delivering Supported Independent Living (SIL), Specialist Disability Accommodation (SDA), Community Participation and Complex Support services across New South Wales, Queensland, Victoria and South Australia.
We are seeking an experienced and driven NDIS Intake Officer to join our Mildura team. This is a critical role for our Mildura operations — one that requires someone who knows the NDIS intake process inside and out, takes full ownership of their enquiry pipeline and is focused on converting referrals into service commencements.
This is not an entry-level position. We are looking for a proven NDIS intake professional who can hit the ground running, build strong relationships with support coordinators and referral partners, and drive results.
About the Role
As our NDIS Intake Officer in Mildura, you will be responsible for managing the full intake journey — from the first point of contact through to service commencement. You will be the face of Value Care for prospective participants, their families and their support networks, and you will play a direct role in the organisation's growth in the Mildura region.
You will work closely with our operational, rostering and service delivery teams to ensure a smooth and timely transition from enquiry to active service. You will also be a key relationship manager — maintaining strong, ongoing connections with support coordinators, plan managers, LACs and referral partners across the region.
You will be expected to manage your own pipeline proactively. Enquiries do not manage themselves — you will follow up, stay engaged and keep things moving.
Key Responsibilities
Enquiry Management & Intake
Manage all incoming NDIS enquiries promptly and professionally — phone, email and referral.
Conduct thorough initial needs assessments to understand participant goals, funding, support needs and eligibility.
Gather and document all relevant participant information accurately and in accordance with NDIS and organisational requirements.
Progress each enquiry systematically through the intake pipeline — from initial contact through to service agreement and service commencement.
Maintain an active, well-managed enquiry pipeline and ensure no referral is lost or left unactioned.
Follow up all referrals proactively and consistently — with participants, families, support coordinators and referral sources.
Identify and address any barriers to service commencement promptly and elevate where required.
Relationship Management & Business Development
Build and maintain strong, ongoing relationships with NDIS support coordinators, plan managers, Local Area Coordinators (LACs) and other referral partners across the Mildura region.
Act as a reliable, knowledgeable and responsive point of contact for referral partners.
Proactively engage with the local NDIS community to raise awareness of Value Care's services and generate referrals.
Represent Value Care professionally in all interactions with external stakeholders.
Identify opportunities to strengthen referral pathways and grow the organisation's participant base in the region.
Documentation & Compliance
Maintain accurate, complete and up-to-date records for all enquiries and participants in the organisation's CRM and case management systems.
Ensure all intake documentation, service agreements and consent processes comply with NDIS Practice Standards and Value Care's policies.
Prepare intake activity reports and pipeline updates for management as required.
Ensure all intake processes meet NDIS Quality and Safeguards Commission requirements.
Work closely with rostering, operations and service delivery teams to ensure smooth transitions from intake to service commencement.
Communicate clearly and promptly with internal teams regarding new participants, service requirements and timelines.
Participate in team meetings, case conferences and organisational planning as required.
Provide feedback on intake trends, referral patterns and service demand to inform operational planning.
About You
You are an experienced NDIS intake professional who takes full ownership of your pipeline. You understand that the intake function is not simply about processing enquiries — it is about building trust, maintaining momentum and ensuring that people who need support actually receive it.
You are organised, responsive and commercially aware. You know how the NDIS works, you understand how support coordinators think,
and you know what it takes to move an enquiry from first contact to a signed service agreement and active service.
You may currently work or have recently held a role as a:
NDIS Intake Officer or Intake Coordinator
NDIS Client Services or Customer Relations Officer
NDIS Business Development or Referral Coordinator
NDIS Plan Manager with strong intake or client onboarding experience
Proven, hands-on experience in intake — you have done this before and you are good at it.
Strong working knowledge of the NDIS, including funding types, plan categories, support budgets and service agreements.
Demonstrated ability to manage an active enquiry pipeline and follow up referrals consistently to achieve service commencement.
Established relationships with, or strong experience engaging, NDIS support coordinators, plan managers and LACs.
Excellent verbal and written communication skills — confident, professional and explicit.
Strong organisational skills with the ability to manage competing priorities and multiple active enquiries simultaneously.
Experience using CRM, case management or client database systems.
High level of empathy and a person-centred approach to working with participants and their families.
NDIS Worker Screening Check or willingness to obtain.
Highly Desirable
Experience working within a registered NDIS provider across SIL, SDA or complex support services.
Existing referral network or relationships with support coordinators in the Mildura or broader northwest Victoria region.
Qualifications in disability, community services, social work, allied health or a related field.
Experience preparing service agreements and navigating NDIS pricing and rate structures.
What We Offer
Competitive remuneration, commensurate with experience and qualifications.
Be part of a growing national NDIS organisation with a strong presence across four states.
Play a critical role in expanding Value Care's services and impact in the Mildura region.
Work with a supportive operational and leadership team who are invested in your success.
Ongoing professional development opportunities within the NDIS sector.
A role where your work directly improves outcomes for people living with disability.
If you are an experienced NDIS intake professional who takes pride in managing enquiries from first contact through to service commencement, and you want to play a key role in Value Care's growth in Mildura — we would like to hear from you.
