Melbourne

Programs and Operations Coordinator | Part-time, fixed-term

Be the first paid team member of a growing Australian cultural institution.

About us

The Australian Arab Institute for Culture and Ideas champions the artistic, cultural and intellectual contributions of Arab Australian communities. We create opportunities for storytelling, creative development, cultural collaboration and public presentation, connecting artists and communities across Australia.

We are a values-driven organisation committed to advancing Arab cultural and intellectual life in Australia. It focuses on empowering Australians of Arab descent to thrive, express themselves, and inspire others through story, art, and knowledge. The Institute champions proud and unapologetic celebration of Arab heritage, identity, and contribution. It offers programs, events, and initiatives that create spaces for cultural expression, learning, and community-building. Prospective team members will join a mission-led environment that encourages creativity, dialogue, and social impact.

The opportunity

Thanks to successful grant funding for two writers' programs, we are recruiting our first employee. You will take the lead on coordinating and delivering two funded cultural programs, while helping build the practical systems that support our growing Institute. This is a hands-on position for a confident organiser who can turn plans into well-run programs, build trust with communities and work independently alongside our volunteer Executive Director.

What you’ll do

- Coordinate cultural programs from planning to delivery, including creative workshops, mentorship, residencies and showcases.
- Manage timelines, budgets, suppliers, venues, participant engagement and day-to-day logistics.
- Maintain grant records, track spending and prepare information for reports and acquittals.
- Build respectful, trusted relationships with artists, cultural practitioners and community partners.
- Help establish simple,

reliable operational systems and support related Institute cultural activities as capacity allows.

What you’ll bring

- Proven experience coordinating programs, projects or operations and delivering to deadlines.
- Strong organisation, budget tracking, administration and communication skills.
- Confidence working autonomously, solving problems and keeping leadership informed.
- Integrity, discretion, cultural sensitivity and a demonstrated ability to build trust.
- Commitment to accessible and inclusive engagement across diverse communities.

Experience with arts or cultural programs, grants, community organisations, events or small not-for-profits is welcome but not essential. We value transferable experience and different career pathways.

The practical details

Part-time, 2–3 days per week depending on the successful applicant. Fixed-term employment tied to program funding. Sydney or Melbourne-based, with flexible working arrangements and some event-related hours by agreement. Reports to the Institute’s volunteer Executive Director.

Remuneration is based on competitive remuneration commensurate with the successful applicant's experience and responsibilities, in accordance with the applicable modern award, plus superannuation and statutory entitlements.

You will generally use your own suitable computer and equipment under agreed arrangements, with access to Institute email and systems. Reasonable adjustments and applicable employment requirements will be considered.

Inclusion and accessibility

We are committed to a diverse,

inclusive and culturally respectful workplace. We encourage applications from Arab Australian communities, culturally and linguistically diverse communities, LGBTQIA+ people, people with disability, and Aboriginal and Torres Strait Islander peoples. We value transferable experience. Please let us know if you require reasonable adjustments during recruitment.

How to apply

Please send your CV and a short cover letter describing your program delivery experience, operational strengths and approach to building trusted community relationships to [email protected] by 9 November 2026. Questions about the role can be directed to the same email.

Qualifications

- Robust Operations Management skills, including coordinating programs, managing logistics, and supporting day-to-day organisational processes.
- Excellent Communication abilities, with capacity to engage confidently and respectfully with diverse communities, partners, and stakeholders.
- Customer Service experience, demonstrating responsiveness, empathy, and a commitment to positive participant and visitor experiences.
- Administrative Assistance skills, including document management, calendar coordination, data entry, and basic financial or project administration.
- Analytical Skills to support program monitoring, reporting, and continuous improvement of operations and participant outcomes.
- Demonstrated interest in or knowledge of Arab cultures, communities, and arts in Australia is highly desirable.
- Strong organisational and time-management skills, with the ability to manage multiple priorities and work independently and collaboratively.
- Proficiency with standard office software and digital tools; experience with event or project management platforms is an advantage.
- Relevant tertiary qualification or equivalent experience in community development, arts and culture, non-profit management, or a related field.
