Customer Relationships & Operations Coordinator

SHEPHERD FILTERS | Elanora, Gold Coast QLD Permanent Part-Time | 30–35 Hours | Monday to Friday

$35–$40 per hour + superannuation, depending on experience

Great with people, organised with administration, and enjoy getting things done?

We're looking for a friendly, capable and proactive person to join our small team at Shepherd Filters. This is a genuine 50% customer relationships and sales support / 50% administration and operations position.

We need someone who enjoys talking to customers, building relationships and following up sales opportunities, but who is equally comfortable processing orders, managing paperwork and keeping things organised.

You might come from real estate, property management, account management, internal sales, customer service, administration or office management.

You don't need experience in our industry. We can teach you about our products.

What matters most is your ability to communicate, stay organised, solve problems and follow things through.

About Shepherd Filters

Shepherd Filters is an innovative Australian company helping commercial kitchens reduce fire risk, lower cleaning costs and improve kitchen exhaust compliance. Our award-winning disposable grease filters, made from 100% natural wool, are used by major restaurant groups and commercial kitchens throughout Australia, New Zealand, the UK and USA.

We're a small, friendly team based in Elanora on the Gold Coast, supporting customers internationally.

We're looking for someone who wants to become a valued, long-term member of our business.

About the Role

You'll work closely with our Business Development Manager, Customer Order & Supplier Administrator and business owner. Your responsibilities will be divided approximately equally between two important areas.

50% — Customer Relationships & Sales Support

- Build and maintain relationships with existing customers.
- Proactively contact customers regarding reorders and ongoing product requirements.
- Follow up quotations, samples, enquiries and sales opportunities.
- Support our Business Development Manager with customer follow-ups and sales activities.
- Respond to incoming customer calls and emails.
- Help customers resolve problems and answer product questions.
- Identify opportunities to generate repeat sales and improve customer satisfaction.
- Keep customer information and follow-up activities updated in our CRM.

This isn't a high-pressure sales position, but you must enjoy talking to people, be comfortable picking up the phone and confidently asking for an order when appropriate.

50% — Administration & Operations

- Process customer orders, purchase orders and invoices.
- Assist with stock monitoring and supplier coordination.
- Organise freight, deliveries and international shipments.
- Maintain accurate customer and business records.
- Prepare quotations, correspondence and business documentation.
- Assist with general office administration and management projects.
- Support our administrator during busy periods or leave.

- Help with occasional marketing and social media activities.
- Assist with light product packing and preparation when required.

Because we're a small business, everyone helps each other when needed. Some days you'll be following up customers and sales opportunities. Other days you'll be processing orders, organising shipments or solving customer problems.

We need someone who enjoys this variety and takes pride in getting things done properly.

Who We're Looking For

We're interested in someone who combines strong people skills with excellent administration and organisational ability. Ideally, you'll have:

- At least 2 years' experience in customer service, sales support, administration, account management or a similar position.
- Confidence speaking with customers and making follow-up calls.
- Strong written communication and a skilled telephone manner.
- Good Microsoft Office and Outlook skills.
- Excellent attention to detail and accuracy.
- The ability to manage several priorities without losing track of tasks.
- A practical, common-sense approach to problem-solving.
- The initiative to work independently once trained.
- A willingness to learn and contribute to a small team.
- Reliability, punctuality and a positive attitude.

Experience That Would Be a Big Advantage

We use several business systems, so previous experience with the following would be particularly valuable:
- QuickBooks — orders, invoicing and business administration.
- Xero — accounting and business administration.
- Bigin CRM (Zoho) — customer relationships and sales follow-ups.
- Stock control, freight or international shipping.
- Marketing, social media or customer communications.

You don't need to know every system, but strong computer skills and the ability to learn new software are important.

Would This Role Suit You?

You may be exactly who we're looking for if:
- You genuinely enjoy building customer relationships.
- You're confident making calls rather than relying entirely on email.
- You can follow up a sales opportunity and then complete the administration accurately.
- You enjoy being organised and keeping on top of your responsibilities.
- You take initiative rather than waiting to be reminded.
- You're comfortable when priorities change.
- You enjoy working closely with a small team.
- You're happy to help with practical tasks when required.
- You're looking for a stable, long-term position.

We're not looking for a salesperson who dislikes administration or an administrator who is uncomfortable talking to customers. We're looking for someone who enjoys both.

Your First 90 Days

We understand that learning a current business takes time,

and we'll provide training and support. First 30 days — Learning

Become familiar with our products, customers, systems and daily processes. Begin handling customer enquiries, orders and administration with guidance.

Days 30–60 — Building Confidence

Take on more responsibility for customer follow-ups, orders and daily administration. Become increasingly confident using our systems and managing tasks independently.

Days 60–90 — Taking Ownership

Manage regular customer follow-ups and administration with greater independence, stay on top of priorities and contribute ideas to improve our operations.

Our goal is to find someone who becomes confident in the position and enjoys being an important part of the business.

Hours, Pay & Workplace

- Permanent part-time — 30–35 hours per week.
- Monday to Friday availability is essential.
- Starting rate of $35 per hour + superannuation.
- Up to $40 per hour for an exceptional candidate with highly relevant experience, particularly in our business systems, who can contribute with minimal training.
- Based at our Elanora home office, working alongside a small team.
- This is an on-site position, not a work-from-home role.
- Occasional light lifting, product handling and packing.
- Training and support provided.

Our office is based within a private residential property rather than a traditional corporate office. We want applicants to be comfortable with this environment from the outset.

Why Join Shepherd Filters?

- Join an innovative Australian business with international customers.
- Enjoy a genuine mix of customer relationships, sales support and administration.
- Stable weekday hours with no weekend work.
- Work in a friendly, small-team environment.
- Have variety and responsibility in your working day.
- Build genuine relationships with customers.
- Learn about international sales, logistics and operations.
- Have the opportunity to contribute ideas and make a difference.
- Become a valued, long-term part of a growing business.

How to Apply

We'd love to hear from you! Please send your resume and a short cover letter answering these questions:
1. Why are you considering leaving your current role, and what interests you about Shepherd Filters?
2. This position is approximately 50% customer relationships and sales support, and 50% administration and operations. What experience do you have in both areas, and which do you enjoy most?
3. What experience do you have with QuickBooks, Xero, CRM or similar business systems?
4. Are you comfortable working on-site at our Elanora home office, Monday to Friday, for 30–35 hours per week?
5. Are you looking for a long-term position where you can learn, contribute and grow with the business?

We're looking for someone who is reliable, personable, organised and genuinely enjoys helping customers and keeping a business running smoothly. If you're the person others rely on when something needs to be sold, sorted or simply gotten done, we'd love to hear from you.
