The Opportunity

This is an exciting opportunity for an organised and people-focused qualified to join our Sydney Ultrasound for Women (SUFW) team as a Clinic Coordinator at our Frenchs Forest clinic, located within Northern Beaches Hospital.

If you enjoy bringing people together, keeping things running smoothly and making a positive difference to the patient experience, this could be the role for you. You'll coordinate clinic workflows, support Patient Services Coordinators and help ensure the clinic operates efficiently, professionally and with a strong focus on patient care.

Working closely with the Patient Services Manager, you'll be a key point of contact for the team, helping resolve day-to-day issues, coordinating patient flow and maintaining high standards across clinic operations. From supporting staff and managing appointment-book gaps to ensuring administrative processes are completed accurately, you'll play an important role in keeping the clinic organised and patients well supported.

This is a permanent full-time opportunity for someone who enjoys a varied role, takes initiative and thrives in a busy healthcare environment.

Your responsibilities will include:

- Coordinating reception activities, patient flow and clinic readiness to support efficient clinic operations.
- Providing day-to-day guidance, support and feedback to Patient Services Coordinators.
- Resolving routine clinic and patient issues, escalating more significant or recurring matters to the Patient Services Manager.
- Reviewing and approving timesheets, monitoring attendance and communicating unexpected absences.

- Monitoring appointment-book gaps and cancellations, working with Bookings and the Patient Services
- Manager to maximise available capacity.
- Building effective working relationships with doctors, sonographers, patients and other clinic teams.
- Monitoring patient feedback and addressing or escalating service concerns.
- Supporting compliance with Medicare and billing requirements, privacy, patient identification, WHS and required training.
- Coordinating stocktakes, approved ordering, invoices and other clinic administration.

Are you the ideal candidate?

We're looking for someone who is organised, proactive and confident supporting a team in a busy medical or healthcare environment. You may already be working in medical administration, senior reception or clinic coordination and be ready to take the next step in your career.

You'll bring strong communication and problem-solving skills, excellent attention to detail and the ability to manage competing priorities. You'll be comfortable providing guidance to colleagues, taking ownership of local operational issues and knowing when to resolve matters yourself or escalating them to the Patient Services Manager.

A working knowledge of Medicare, billing and healthcare administration will be beneficial, along with the confidence to build positive relationships with patients, clinical teams and other stakeholders.

Most importantly, you'll be patient-focused, reliable and approachable, with a genuine commitment to helping your team deliver a welcoming and professional experience for every patient.
