Executive Assistant to CEO & Leadership Team

Reporting directly to the CEO and working closely with the Leadership Team, you will play a pivotal role in ensuring the smooth and effective operation of the executive office. This is far more than diary management. You will be a key organisational resource, managing priorities, coordinating critical activities, supporting governance processes and anticipating the needs of senior stakeholders before they arise. You will be trusted with highly confidential information and will become a central point of coordination across the business.

Key responsibilities

Manage complex diaries, schedules and executive priorities

Coordinate appointments, meetings, travel and accommodation arrangements

Screen and manage calls, emails and correspondence

Prepare agendas, reports, presentations and executive documentation

Take meeting minutes and ensure actions are tracked through to completion

Support the CEO and Leadership Team with day-to-day administration and strategic initiatives

Coordinate Board meeting schedules and logistics

Prepare, collate and distribute Board papers

Maintain corporate records, registers and filing systems

Administer pricing and tender documentation

About you

Proven experience supporting senior executives, preferably at CEO or Executive Team level

Experience coordinating Board meetings and governance-related activities

Advanced Microsoft Office skills, particularly Excel and PowerPoint

Strong reporting, analytical and document preparation skills

Exceptional attention to detail and organisational ability

Outstanding written and verbal communication skills

The ability to manage multiple competing priorities with confidence

High levels of discretion and professionalism

Experience using ERP and CRM systems such as Pronto and HubSpot (highly regarded)

A genuine interest in technology, automation and AI tools that improve efficiency and productivity
