Parramatta
OnePoint Education Services at Parramatta NSW, is a consultancy specialising in international education and migration, and over roughly seven years it has guided international students, skilled professionals, families and employers from their first enquiry to a successful study or visa outcome in Australia. Alongside its Parramatta head office, the partnership runs an office at Moonah in Hobart and two branches in Pakistan, at Lahore and Sargodha. On the education side, the team helps clients choose a course, apply to universities, TAFEs and colleges, switch course or provider, lodge student visas and arrange Professional Year placements and health cover for students, drawing on a network of education partners in Australia, the UK and Europe.
Its migration practice advises on skilled, employer-sponsored, partner, parent, visitor and graduate visas, along with National Innovation visa applications and review matters before the Administrative Review Tribunal. As an ICEF accredited agency, OnePoint has built its name on honest, straightforward advice and applications prepared with care, with each client keeping one dedicated contact from the very first consultation until the visa is granted and they have settled in. The firm is now looking for an experienced Office Manager to join the team at its head office.
Office Manager | OnePoint Education Services | Parramatta, NSW
This role sits at the centre of the head office. Working closely with the partners, you will keep the Parramatta team organised, supported and compliant so the client-facing staff can concentrate on students and visa clients, and you will be the link between Parramatta, the Moonah office and the overseas branches on day-to-day operations.
Key Responsibilities
- Run the front of house and the daily workload at the head office, making sure walk-in, phone and online enquiries are booked promptly with the right counsellor,
allocating client files and follow-ups according to each person’s caseload and experience, and tracking turnaround times, file accuracy and client feedback so no student or visa client is left waiting for an answer.
- Look after the head office’s client records, from intake forms and counselling notes through to offer letters, visa documents and correspondence, keeping every file complete, secure and easy to retrieve, and manage the office accounts, including service fee invoices and receipts, supplier bills, petty cash and the month-end records the partners need.
- Lead recruitment for the head office, from writing advertisements and shortlisting applicants to interviews, reference checks, offers and onboarding, and hold regular performance conversations with each team member, making recommendations to the partners on promotions, pay and development.
- Uphold a safe office through WHS inductions, workstation and hazard checks, incident reporting and emergency drills, and make sure everyday work follows privacy, record-keeping, employment and tax obligations, the professional standards that apply to education agents and migration advice, ICEF accreditation requirements, partner institution agreements and the firm’s internal policies.
- Decide how people, counselling and meeting spaces, workstations and technology are deployed across the head office, shifting cover during peak intake periods,
and coordinate shared processes and resources with the Moonah office and the Lahore and Sargodha branches.
- Prepare and process payroll for the Parramatta team each pay cycle, manage leave and timesheets, and supervise the office team day to day as their first point of contact, arranging induction and refresher training so everyone stays across course options, visa processing updates and internal procedures.
- Keep computers, printers, scanners, phones and the client database running smoothly, arrange servicing and repairs, reorder stationery and consumables before they run short, and manage the IT, cleaning and building service providers who support the office.
- Work with the partners to plan and review how the office runs, set service standards for enquiry response, document collection and file quality, refine checklists and procedures as the business evolves, and report regularly on workload, client volumes and office performance.
Education and Experience
- At least 1 year of experience in office management or a similar administration leadership role, ideally within education, migration or skilled services
- An AQF Associate Degree, Advanced Diploma or Diploma, preferably in business, management or a related field
Personal attributes
- Organised and calm, able to juggle competing deadlines through busy intake periods
- A clear, courteous communicator with clients, colleagues and partner institutions
- A fair, approachable leader who brings out the best in a team
Salary & Hours
- Permanent, full-time position, typically 38 hours per week
- $75,000 to $85,000 plus superannuation per annum
If this sounds like you, we’d love to hear from you! Please be sure to combine a covering letter addressing the key criteria set out above as the first page of your resume.
