Reports to: Head of Sales
Aussie Buckets supplies attachments to contractors and machinery operators across Australia. You'll join a small, close-knit team in a growing Aussie business, with genuine variety across sales support, customer service, systems and office coordination.
This is a hands-on role for someone who enjoys structured work, accurate records and keeping things moving. You'll be the reliable link between customers, the sales team, accounts and operations.
What you'll own
Payments and CRM accuracy
Enter customer payments from the bank feed against the correct sales order or invoice in NetSuite, and update the matching deal and payment status in HubSpot.
Keep HubSpot accurate and practical: clean up records, resolve duplicates, fill missing details, correct deal stages and escalated anything that doesn't clearly match.
Answer the general admin line and manage sales and operations call overflow through Aircall, ensuring missed sales calls are returned by the right rep the same day.
Manage sales, accounts and admin shared inboxes so enquiries are answered, actioned or escalated by close of business.
Support the sales team with order and key-account administration, and work with dispatch, accounts and operations on stock, order queries and customer escalations.
Provide general office and admin support, including office supplies and deliveries, social media messages/comments, customer review follow-ups, and other tasks that keep the sales and admin function running smoothly.
What you'll bring
1-2 years' experience in sales support, admin, customer service, order processing or a similar detail-focused role.
Experience entering payments, orders or invoices against customer records in a CRM or ERP.
Strong attention to detail; you'll check details carefully and flag anything that doesn't add up rather than making assumptions.
A confident phone manner and clear written communication.
Ability to manage a busy phone line and shared inboxes while keeping track of priorities and follow-ups.
Comfort following processes and checklists, and raising questions or discrepancies early.
Experience with HubSpot, NetSuite, Xero or Aircall is a bonus, as is exposure to construction, machinery, industrial products or trade customers.
How success is measured
Customer calls answered, returned or escalated within agreed timeframes.
Customer emails actioned or escalated by close of business.
Payments entered against the correct order, with HubSpot status matching, and nothing applied on a guess.
CRM duplicates, errors, missing information and incorrect stages found and fixed promptly.
Sales reporting delivered accurately and on time.
Office and admin work completed reliably without displacing customer and payment work.
What we offer
A permanent, full-time onsite role in Melbourne CBD.
A salary of $75,000-$80,000 plus super.
A supportive small team where your work has a visible impact.
Training in our systems and processes, with room to grow as the business grows.
A convenient CBD location, just a five-minute walk from Southern Cross Station.
