Practice Manager | Specialist Oral & Maxillofacial Practice
Brisbane Face & Jaw Surgery | Brisbane, QLD
$95,000 – $1115,000 + superannuation | Commensurate with experience
A genuine leadership role with the opportunity to shape how a specialist practice operates
Are you an experienced Practice Manager who enjoys taking ownership, solving problems and making a practice work better?
Brisbane Face & Jaw Surgery is looking for an accomplished Practice Manager to join our established specialist Oral & Maxillofacial Surgery practice.
This is an opportunity to work closely with a team of specialist surgeons and an experienced administrative team, with genuine responsibility across people, operations, financial administration, systems and practice development.
We are looking for someone who doesn't simply manage the day-to-day — someone who can look at how things are working, identify opportunities to improve them and confidently lead those improvements.
About the role
As Practice Manager, you will have broad responsibility for the smooth and effective operation of the practice across its consulting locations.
You will work closely with the surgeons and team to ensure that:
- patients receive a consistently professional and responsive experience
- surgeons have the administrative support they need to work efficiently
- staff are well supported, trained and accountable
- billing, payments and claims are managed accurately
- practice systems and processes are effective and continually improving
- operational issues are identified early and followed through to resolution
- the practice continues to develop as it grows.
This is a diverse role where no two days are quite the same. One day may involve reviewing practice performance and resolving a billing issue; another may involve supporting a surgeon, addressing a staffing matter, improving a workflow or implementing a new process.
What you'll be responsible for
Lead practice operations
Take ownership of the day-to-day operation of the practice, ensuring the many moving parts work together effectively.
This includes oversight of:
- surgeon clinic preparation and theatre lists
- practice workflows and outstanding tasks
- surgeon books and weekly operational checks
- correspondence and e-tray workflows
- new location and health-fund setup
- suppliers, stock and practice resources
- operational cover during staff leave and unexpected absences.
Lead and develop the team
Build a positive, capable and accountable administrative team.
You will be involved in:
- recruitment and onboarding
- staff development and training
- rostering and leave management
- performance management and HR matters
- supporting staff with day-to-day questions and challenges
- mentoring newer team members
- maintaining a collaborative and professional team culture.
Own financial and billing processes
You will oversee the administrative side of the practice's revenue cycle, including:
- patient payments and receipting
- lodgements and payment follow-up
- billing issue resolution
- DVA and WorkCover processes
- health-fund administration
- monthly reporting
- review of bookkeeping and financial processes.
You don't need to be an accountant, but you do need to be commercially aware, comfortable with numbers and willing to investigate when something doesn't look right.
Improve systems and processes
We want a Practice Manager who naturally asks:
“Is there a better way of doing this?”
You will have responsibility for identifying and implementing practical improvements across the practice, including:
- Xestro processes and configuration
- templates and workflows
- SharePoint guides and documentation
- communication between clinical and administrative teams
- training resources and standard operating procedures
- introduction of new processes, codes and systems.
Work closely with our surgeons
You will be a key link between the surgeons and the administrative team.
This requires someone who is confident communicating with specialists, understands the demands of a busy clinical environment and can raise issues constructively while also bringing solutions.
Your role will include ensuring that information flows effectively between surgeons and staff and that issues are resolved rather than simply passed on.
Champion the patient experience
Patients undergoing oral and maxillofacial treatment can be dealing with complex procedures and understandably may have concerns or questions.
You will help ensure that the administrative experience reflects the high standard of clinical care provided by the practice.
This includes oversight of patient queries, complaints and compliments, billing concerns and communication throughout the patient journey.
Contribute to practice development
You will also have the opportunity to contribute beyond day-to-day operations, including:
- website and social media initiatives
- practice development projects
- new location setup
- improving relationships and processes with external providers
- initiatives that support staff engagement and practice culture.
About you
You are likely to be an experienced Practice Manager,
Practice Operations Manager or senior healthcare administrator who is ready to take genuine ownership of a practice.
You will bring:
- Proven practice management experience, ideally within specialist medical, surgical, dental or private healthcare.
- Strong people leadership skills and the confidence to manage, develop and motivate a team.
- Excellent organisational skills and the ability to maintain oversight of multiple priorities.
- Strong understanding of billing, payments, claims and financial administration.
- Confidence working with doctors, specialists and other senior healthcare professionals.
- A natural problem-solving and follow-through mindset.
- The ability to identify inefficiencies and turn them into practical improvements.
- Strong written and verbal communication.
- High attention to detail while retaining a broader understanding of the practice.
- A calm, mature and solutions-focused approach.
- Excellent judgement, discretion and respect for confidentiality.
- A genuine commitment to patient service and professional standards.
Most importantly, you will be someone who:
Takes ownership.
When you see something that isn't working, you don't simply identify the problem — you work out what needs to happen, involve the right people and see it through.
You will be equally comfortable leading a team, looking at a spreadsheet, solving a patient issue, talking to a surgeon or improving a process.
Why join us?
This is an opportunity to move beyond a traditional Practice Manager role and have genuine influence over how an established specialist practice operates and develops.
You will work closely with experienced Oral & Maxillofacial Surgeons while leading the operational side of the practice and supporting a committed administrative team.
We value people who bring initiative, professionalism and good judgement, and who want to make a tangible difference.
In return, you will have:
- genuine autonomy and responsibility
- direct access to the specialist surgeons you support
- a wide-ranging and interesting role
- the opportunity to implement meaningful improvements
- a professional and collaborative working environment
- the opportunity to contribute to the continued growth of an established specialist practice
- remuneration of $95,000–$115,000 + superannuation, depending on experience.
