The Opportunity
This is an exciting opportunity for a confident and customer-focused professional to join our Sydney Ultrasound for Women (SUFW) team in a dedicated bookings role, based at our Kent Street clinic.
This is a phone-based role suited to someone who enjoys speaking with people, thrives in a rapid-paced environment and takes pride in delivering an exceptional customer experience. You'll spend most of your day managing inbound and outbound calls, helping patients navigate the booking process and ensuring appointments are arranged efficiently and accurately.
Working under the guidance of the Bookings Team Leader, you'll also manage online bookings and proactively contact patients on waitlists, as well as new patients who have had referrals received by the clinic. Your communication skills, attention to detail and ability to build rapport over the phone will be key to helping patients access the care they need.
Based at our Kent Street clinic, Monday to Friday, this is an opportunity to become part of a dedicated bookings function and make a meaningful contribution to the patient experience at SUFW.
Your responsibilities will include:
Managing a high volume of inbound calls, responding to patient enquiries and booking appointments in a friendly,



professional and efficient manner.
Making outbound calls to patients on waitlists and new patients with referrals received by the clinic.
Processing online bookings and ensuring appointment details are accurate and up to date.
Providing clear information and guidance to patients throughout the booking process, helping them feel informed and supported.
Managing patient enquiries with empathy, professionalism and sensitivity, recognising the personal nature of women's health services.
Working closely with the Bookings Team Leader and wider clinic team to ensure booking processes run smoothly and patient needs are met.
Maintaining accurate patient records and following established booking procedures, privacy requirements and clinical protocols.
Contributing to a positive patient experience through responsive communication, attention to detail and a commitment to excellent customer service.
Are you the ideal candidate?
We're looking for a confident communicator who genuinely enjoys speaking with people and is comfortable spending most of your day on the phone. You may have experience in a call centre, contact centre, medical bookings team or another high-volume customer service environment.
You'll bring a friendly and skilled telephone manner,



strong listening skills and the confidence to manage a variety of enquiries while remaining calm and organised in a busy environment. You'll also be comfortable making outbound calls, following up with patients and managing multiple bookings and enquiries throughout the day.
Most importantly, you'll be patient-focused, reliable and detail-oriented, with a genuine commitment to making every patient interaction a positive one. Previous experience in healthcare or medical bookings would be highly regarded, but we're equally interested in candidates with transferable customer service skills and the right approach.
