Commercial Laundry & Commercial Kitchen Equipment
Position purpose
We are seeking an organised, proactive and customer-focused Internal Sales & Service Coordinator with knowledge of commercial laundry and commercial kitchen equipment .
This role connects our customers, sales team, service technicians and suppliers. It is responsible for managing incoming enquiries, logging service jobs, identifying equipment requirements, preparing and following up quotations, and coordinating equipment orders, installations and projects.
The successful candidate will take ownership of enquiries from the first phone call through to completion, keeping customers informed and ensuring commitments are followed through. This is an active sales and service coordination role—not simply an administration position.
Key responsibilities
1. Customer service and enquiry management
Act as a reliable first point of contact for customers by answering incoming calls and responding to email enquiries professionally and promptly. Understand whether the customer requires equipment sales, a replacement, a repair, spare parts or assistance with a project, and either progress the enquiry directly or coordinate the appropriate support.
Maintain accurate customer records, communicate expected next steps and timeframes, and follow outstanding matters through to resolution. Escalate urgent service issues, delays and complaints appropriately.
2. Service-job logging and coordination
Receive and log service requests accurately in the company’s job-management system, capturing customer and site details, equipment make and model, serial numbers where available, the reported fault, urgency, access requirements and any required work-order or purchase-order information.
Liaise with service coordinators, technicians and suppliers to progress jobs, obtain missing information and keep customers updated. Follow up outstanding service quotations, parts requirements and return visits, ensuring completed work has the documentation required for invoicing and job closure.
3. Equipment identification and quotation preparation
Receive quotation requests and clarify the customer’s equipment requirements, intended use, capacity, available space and preferred timeframe. Use equipment information, photographs, model numbers and supplier resources to identify existing equipment and suitable replacement or current-equipment options.
Obtain supplier pricing, availability, specifications and lead times. Prepare accurate quotations within approved pricing and margin guidelines, clearly setting out equipment, freight, installation, commissioning and removal of existing equipment where applicable, together with relevant inclusions and exclusions.
Seek technical advice where required rather than making assumptions about equipment suitability, service requirements or installation conditions.
4. Internal sales and quotation follow-up
Maintain an organised quotation pipeline and actively follow up all open quotations. Confirm that customers have received their proposals, answer questions, obtain feedback and help progress decisions.
Identify appropriate opportunities for equipment replacement, upgrades, additional equipment and ongoing service support. Record follow-up dates, next actions and reasons for lost opportunities, and keep the sales team informed of larger or more complex opportunities.
Convert approved quotations into the appropriate sales orders, service jobs or project instructions, ensuring customer approvals and agreed commercial requirements are recorded before work proceeds.
5. Order, installation and project coordination
Coordinate accepted equipment orders and smaller projects from approval through to delivery, installation and handover. Liaise with customers, suppliers, freight providers, technicians and subcontractors to confirm responsibilities, availability and agreed timeframes.
Collect information about site access, equipment dimensions, delivery arrangements, existing equipment removal and utility requirements. Arrange technical confirmation or site inspections where needed before installation commitments are made.
Track outstanding actions, communicate changes or delays promptly and ensure the relevant manuals, warranty information, completion records and invoicing details are provided at handover.
6. Administration, teamwork and reporting
Keep customer, equipment, quotation,
order and service records accurate and current. Maintain clear notes so colleagues can understand the status of an enquiry or job without having to repeat questions to the customer.
Work closely with sales, service, procurement and accounts to resolve issues and support an efficient customer experience. Provide regular updates on open quotations, outstanding service matters, upcoming installations and project actions.
Experience and knowledge
The successful candidate will have:
Working knowledge of commercial laundry and commercial kitchen equipment , including the ability to identify equipment and understand common customer requirements.
Experience in internal sales, customer service, service coordination or sales support within an equipment supply or technical-service business.
Experience preparing quotations, following up sales opportunities and coordinating orders or service jobs.
Strong telephone communication, written communication and general computer skills.
Experience using a customer relationship management or job-management system. Familiarity with Simpro would be an advantage.
Experience coordinating equipment installations, dealing with suppliers or supporting commercial equipment projects will be highly regarded.
Personal attributes
We are looking for someone who is commercially minded, practical and comfortable dealing with customers, technicians and suppliers. They must be able to manage competing priorities, maintain attention to detail and remain calm when service requirements are urgent.
Above all, the person must demonstrate ownership and follow-through : making clear commitments, keeping accurate records, chasing outstanding actions and ensuring customers are not left wondering what happens next.
Measures of success
Performance will be assessed against agreed expectations for enquiry response times, quotation turnaround, consistent quotation follow-up and sales conversion.
Other key measures will include the accuracy of service-job and order information, customer communication, timely coordination of installations and projects, and the effective resolution of outstanding matters.
The overall expectation is straightforward: enquiries are responded to, quotations are followed up, jobs are progressed and customers are kept informed through to completion.
