What we’re looking for The Executive Business Partner is the operational right hand to the President & Managing Director, JAPAC. You keep the President’s key focus areas on track, run the follow-through, and close the loop with the regional team, so the President can spend time with customers, partners, and executives.

This is a hands-on, high-trust role suited to a self-directed professional who delivers results and moves confidently between customer meetings, executive visits and internal communications. The role requires flexibility to support the President’s schedule across JAPAC time zones, including occasional early starts, late calls and regional travel outside standard working hours.

Responsibilities

Priorities and follow-through

- Stay on top of the President’s key focus areas, and keep a live view of status, owners, and next steps
- Capture actions, owners, and due dates from meetings, 1:1s, and reviews, then chase them to completion
- Close the loop with the regional team: confirm what was agreed, report what is still open, and escalate blockers early
- Prepare the President for each meeting with briefing notes, background,

objectives, and clear asks

Schedule, time, and travel
- Manage the President’s calendar and priorities around their working pattern, protecting time for the highest-value work
- Plan and coordinate regional and international travel, including itineraries, logistics, and changes at short notice
- Be reachable and responsive outside standard hours when the schedule requires it

Market Unit visits and regional activities
- Plan and run Market Unit (MU) visits for the President and for visiting global executives: agendas, logistics, customer and partner sessions, and internal meetings
- Act as the host and single point of contact for visiting global executives, before, during, and after the visit
- Support regional events and activities, such as all-hands meetings, leadership sessions, and customer or partner events, working with the local teams
- Track post-visit actions and make sure they are closed out and reported back

Customer, partner, and internal support
- Act as the first point of contact for customer, partner, and internal requests to the President’s office: triage, route, and follow up
- Prepare account and partner context ahead of meetings, and track commitments made to customers and partners
- Represent the President’s office professionally and with discretion in every interaction

Internal communications and operating rhythm
- Draft and manage internal communications, including all-hands materials, regional updates, leadership messages, and announcements
- Run the regional leadership cadence: agendas, pre-reads, minutes, decision logs, and action follow-up
- Pull together regional performance and priority updates for business reviews, and coordinate with global executive offices and functions such as finance, marketing, and HR

Qualifications

Required

- 5+ years of experience in Executive Business Partner, executive operations, business or sales operations, or a senior business role, ideally in enterprise software or professional services

- Proven record of following through tracking many actions across many people and closing them out on time
- Excellent written and verbal communication, able to write for and speak with senior executives, customers, and partners
- Solid organisation and prioritisation across competing deadlines, with hands-on experience planning executive travel, visits, and events
- Exceptional discretion and integrity in handling confidential information
- Ability and willingness to work flexibly outside standard hours, including regional travel across APAC

Preferred

- Experience supporting a regional leadership team across APAC (ANZ, SEA, Japan, India, China)
- Experience in enterprise software or consulting environments, including customer and partner-facing work
- Fluency in Japanese, Chinese or another regional language

Key Attributes

- Dependable: follows through on every action and closes the loop without being chased
- Proactive: anticipates needs, stays ahead of the President’s priorities, and flags issues early
- Flexible: works to the President’s schedule and handles changes at short notice
- Composed: stays calm and clear under pressure, across time zones and competing demands
- Discreet: earns trust at every level and handles confidential information with care

What Success Looks Like

- The President’s priorities are visible, every action has an owner and a date, and nothing falls through
- The regional team hears from the President consistently and knows what is expected of them
- MU visits and global executive visits run smoothly, with actions closed afterwards
- Customers, partners, and internal teams get fast, accurate responses from the President’s office
- The President spends more time on the decisions and relationships only they can handle

What’s in it for you

- Competitive salary and company bonus scheme
- Mobile Allowance
- 20 days annual leave
- 5 days family day leave
- Flexible Benefits
- Hybrid working model where you enjoy the flexibility of working both remotely and in the office.
