Build practical systems. Make them work. Grow into broader operational leadership.
Virago Group operates dental practices across Sydney. We’re looking for someone who enjoys understanding how a business works, solving recurring problems and turning good ideas into reliable daily operations.
Working directly with the Co-Founders and Directors, you’ll improve the systems behind our practices – from staffing and onboarding to reporting, administration and service delivery.
Much of the groundwork already exists. Your first priority will be taking partially developed processes through implementation, resolving the remaining gaps and establishing clear ownership. Over time, you’ll identify and lead improvements of your own.
The work
This is a practical role in a small business. You’ll spend time understanding what happens in our practices, building useful tools and working through the details that make a process succeed. Some improvements happen on site – observing staff workflows, testing changes and helping teams establish consistent routines. Others involve cloud-based systems in Google Workspace that staff use during their working day.
A typical project might involve improving a Google Sheet, building a simple automation, clarifying a checklist, testing a workflow with staff or training an offshore assistant to take ownership.
You will
- Identify recurring problems, bottlenecks and work that unnecessarily returns to the Directors.
- Complete and improve existing processes, tools and operating procedures.
- Observe how staff work and implement practical improvements within the practices.
- Build solutions using Google Workspace, spreadsheets, simple automation and AI tools.
- Personally run processes where needed to understand the work, resolve exceptions and establish a reliable routine.
- Introduce explicit responsibilities, decision rules,
reporting and escalation pathways.
- Train practice staff and offshore executive virtual assistants to take over repeatable work.
- Check that handovers succeed and improvements continue working.
- Measure results through reduced rework, improved reliability, time saved and better operational performance.
Your responsibility continues beyond producing a document or launching a tool. Success means the process works consistently, has a capable owner and reduces the need for Director involvement.
How you’ll work
You can work from home approximately 3–4 days per week, with site visits typically 1–2 days per week depending on implementation priorities. Initially, you’ll shadow the Co-Founders and Directors to understand the business, our people and existing ways of working. As your understanding develops, you’ll visit practices independently to observe, test, train and carry out implementation.
You’ll need to be able to travel regularly to our Sydney practice locations.
What you’ll bring
You may come from business improvement, operations, implementation, project delivery or operational consulting. We’re interested in evidence of what you’ve made work.
You’ll bring
- Experience taking a business process from a problem or unfinished idea through to reliable operation.
- Strong spreadsheet skills and confidence learning business applications.
- A practical approach to automation – experience with Google Apps Script, no-code tools or AI-assisted development would be useful.
- The ability to write clear procedures and explain them to the people doing the work.
- Confidence working alongside frontline staff, following up commitments and holding people accountable.
- Sound judgement about what you can resolve independently and what requires a Director’s decision.
- Willingness to perform routine work while improving it and preparing a successful handover.
Dental experience is not essential. You will need curiosity about the business and a willingness to learn from the people working in it. Lean or project management experience may be practical, but formal certifications are not required.
What success looks like
- Improvements are implemented and used in daily operations.
- Recurring problems are resolved at their source.
- Staff and offshore assistants run processes with clear ownership.
- Exceptions are handled through defined decision and escalation rules.
- The Directors spend less time chasing, correcting and rescuing routine work.
Why join us?
You’ll work directly with the Co-Founders and Directors, gain visibility across the business and see your work make a tangible difference. We’re building the operating capability to support a larger group. As you demonstrate results, there is scope to take on broader operational accountability, with a potential pathway to Head of Operations and ultimately COO as the business grows.
That progression will depend on your capability, performance and the needs of the business.
Apply
Please submit your CV and a short cover letter describing one process you personally improved:
- What was the problem?
- What did you build or change?
- What did you personally operate?
- How did you establish that it kept working after handover?
Please also include your salary expectations and availability.
