- Be the go-to person who keeps the team organised and one step ahead
- Varied role combining PA support, client relations and office coordination
- North Sydney | $85k–$95k super | Flexible part-time or full-time hours
The Opportunity Our client is a growing financial advisory firm, specialising in debt advisory, business restructuring and insolvency solutions. They're building an ambitious business and are looking for a switched-on Personal Assistant to help keep everything running smoothly behind the scenes.
This is more than just diary management. You'll be the go-to person for the team, keeping on top of emails and calls, coordinating schedules, following up outstanding tasks and making sure clients and colleagues are looked after.
You'll bring structure to busy days, anticipate what needs doing and help create an office environment where everything just works.
The team is close-knit, energetic and hardworking. They enjoy working together, have a great sense of camaraderie and are building something they're genuinely invested in. They're looking for someone who will fit naturally into that environment: approachable, proactive, professional and happy to roll up their sleeves when things get busy.
You'll need to be comfortable taking initiative, juggling different priorities and knowing when to step in or ask a question. In return, you'll have a varied role, plenty of interaction with the team and the chance to make a real difference to how the business operates.
Part-time and full-time arrangements are open for discussion, with the potential to transition into a permanent position.
The Responsibilities
You'll be the person helping keep the office organised, the team supported and the little things from becoming big things. Your day-to-day will include:
- Keeping everyone on track: Providing PA support to key team members, managing diaries, coordinating meetings and helping organise busy schedules.
- Being across the inbox: Monitoring emails, sorting priorities and making sure important messages get to the right people.
- Looking after calls and enquiries: Answering incoming calls, coordinating callbacks and ensuring clients and external contacts receive a warm, professional response.
- Following things through: Chasing outstanding information, keeping track of actions and making sure nothing gets lost in the shuffle.
- Keeping the office running: Coordinating supplies, ordering essentials and making sure the office is organised, well stocked and ready for the day.
- Making life easier for the team: Pitching in with administration, helping manage competing demands and stepping in wherever support is needed.
- Creating a great client experience: Ensuring communication is timely, professional and handled with care, particularly when matters are sensitive.
- Making things work better: Spotting opportunities to improve processes, bring more structure to the day-to-day and make everyone's working life a little easier.
The Expertise We're looking for someone who is naturally organised, takes pride in looking after people and can keep a cool head when there's a lot happening.
Ideally, you'll bring:
- Previous experience in a personal assistant, team assistant, office coordination or client services role.
- Excellent communication skills and a confident, friendly telephone manner.
- Strong organisational skills and the ability to stay on top of multiple moving parts.
- A proactive mindset — you notice what needs doing and don't always need to be asked.
- Great follow-through and attention to detail, with a knack for remembering the little things.
- The ability to prioritise, use your initiative and know when something needs to be escalated.
- A calm, practical approach when plans change or competing requests come in.
- A genuine interest in helping people and creating a positive experience for clients and colleagues.
- A flexible, team-first attitude and a willingness to get involved wherever needed.
- Discretion and professionalism when handling confidential information.
Experience in professional services, financial services, accounting or another client-focused environment will be highly regarded. The Next Step
