InHand Occupational Therapy – Claremont, Midland & Subiaco

InHand Occupational Therapy is an established, privately owned occupational therapy practice specialising in hand and upper limb rehabilitation. Now in our 17th year, we have a team of Occupational Therapists and support staff across our Claremont, Midland and Subiaco clinics.

We are looking for a Practice Manager to join our team. The role is 0.7–1.0 FTE across 4–5 days per week, with flexibility to negotiate hours. Previous practice management experience is not essential; however, demonstrated formal leadership or management experience is required.

This is a hands-on leadership role with the opportunity to make a genuine difference to how the practice operates and to make the role your own. Working closely with the Directors and clinical team, you will take ownership of the day-to-day running of the practice, support our Occupational Therapists and provide leadership and direction to our administrative team.

This role would suit someone who enjoys working with people, solving problems and taking responsibility, and who thrives in an environment where flexibility, initiative and good judgement are valued.

About the role The Practice Manager is central to the day-to-day running of InHand and will have a varied role combining people management, practice operations and hands-on administration.

You will manage and support the administrative team and be involved in front-desk operations when required, assist our Occupational Therapists with the administrative aspects of their work, and act as the key link between the Directors, clinicians and administration staff.

The role is varied and flexible, one day may involve managing a staff issue or operational problem; the next may involve helping a patient at reception, coordinating staff or working with the Directors on a practice matter. No two days are the same, and we are looking for someone who enjoys that.

Key responsibilities

- Lead and support the administrative team, providing clear direction, accountability and day-to-day support

- Work closely with the Directors and clinical team to ensure the practice operates smoothly and effectively

- Support the Occupational Therapists with administrative matters so they can focus on clinical care

- Oversee the day-to-day operation of the three clinics

- Provide hands-on front-desk support when required, including phones, emails, bookings, patient enquiries, payments and general administration

- Coordinate staff rosters, leave and day-to-day staffing requirements

- Manage practice administration including accounts, invoicing, correspondence, suppliers and general office requirements

- Liaise with patients, referrers, hospitals, insurers and other external stakeholders

- Identify issues, take ownership and find practical solutions

- Assist with the ongoing use and improvement of practice management and business systems

About you

We are looking for an experienced people leader who is confident taking responsibility, working independently and adapting to whatever the day brings.

You will be

- An experienced manager who is confident leading and supporting a team

- A strong communicator who can provide direction, give feedback and address issues when necessary

- Highly adaptable, with the ability to work effectively with different personalities and working styles

- Practical and solution-focused, with good judgement and initiative

- Organised and able to manage competing priorities without becoming overly rigid

- Approachable, positive and genuinely interested in people

- Comfortable being hands-on and helping wherever needed

- Collaborative and able to work effectively with both clinical and administrative staff

- Confident with technology and able to learn new systems

- Professional and committed to providing a positive experience for patients and staff

Experience

Previous experience in a management or team leadership role is essential.

Experience in healthcare, allied health,

medical administration or a similar professional environment would be highly regarded, but a healthcare background is not essential.

We are more interested in your ability to lead people, communicate effectively, use good judgement and take ownership than in a particular qualification.

Experience with Nookal, Microsoft 365, accounting/invoicing systems, rostering software or similar systems would be advantageous, but training will be provided for InHand-specific systems.

Why join InHand?

InHand is a privately owned practice with a strong reputation for quality clinical care and a supportive, personable approach.

We are not a large corporate organisation. Our Directors are actively involved in the practice and work closely with the clinical and administrative teams.

This role offers variety, autonomy and the opportunity to genuinely influence how the practice operates. You will have the scope to bring your own ideas, improve the way things are done and build solid working relationships across the team.

It would suit someone who enjoys a close-knit team, likes being hands-on and takes pride in making a business work well for its people and clients.

How to apply

If this sounds like the type of role you would enjoy, we would love to hear from you.

Please email your resume and a cover letter to Jarree Holt (*@inhand.net.au) addressing the following:

- Your previous management and people-leadership experience

- Your experience working as part of a team and collaborating with different personalities

- Why you believe you would be a good fit for InHand Occupational Therapy

- An example of a situation where you have had to manage a difficult team member, navigate competing personalities or deal with an unexpected operational problem. Please briefly explain the situation, how you approached it and the outcome.

We are particularly interested in understanding how you approach people, problems and situations that don't have an obvious or straightforward solution.

Email applications are preferred, however applications may also be submitted through SEEK.

Applications will be reviewed as received, and the position will remain open until the right person is found.
