About the Role
We are looking for an experienced, commercially minded and highly organised Sales Coordinator to support the growth of our social media agency.
This is a hands-on role combining sales coordination, relationship management and active selling. You will take ownership of the sales journey from the moment a prospective client makes an enquiry through to conversion, contract completion and handover to the delivery team.
You will be responsible for responding to inbound leads, qualifying prospective clients, conducting sales calls, coordinating proposals, managing follow-ups and converting suitable opportunities into long-term client relationships.
You will also own the agency's CRM and sales reporting, ensuring leadership has clear visibility over the pipeline, sales performance and upcoming opportunities.
Working closely with the Operations Manager and client delivery team, you will help establish a consistent, professional and scalable sales process that supports the agency's growth.
The ideal candidate is confident in sales conversations, excellent at building relationships, proactive with follow-ups and disciplined in maintaining systems and processes. You understand that robust sales performance is not just about winning new clients — it is about attracting the right clients, setting clear expectations and ensuring a smooth transition into service delivery.
Key responsibilities
- Own the end-to-end management of inbound sales enquiries, from initial contact and qualification through to conversion, ensuring every prospective client receives a timely, professional and consistent experience.
- Monitor and manage incoming enquiries across email, website forms, social media, referrals and other approved channels, with some outreach to potential clients as required.
- Respond to enquiries within the agency's agreed response timeframe and qualify prospects based on their business, industry, goals, marketing needs, budget, fit and potential value.
- Schedule and conduct discovery and sales calls,
confidently communicating the agency's services, process, value proposition, pricing and deliverables.
- Lead professional sales conversations, answer questions, address objections and identify opportunities to progress the relationship.
- Prepare and present proposals, communicate next steps and follow up consistently to progress qualified opportunities towards a decision.
- Negotiate within approved pricing, scope and commercial guidelines, escalating requests for discounts, bespoke services or non-standard terms where required.
- Close suitable opportunities and coordinate agreements, documentation and onboarding requirements.
- Maintain accurate CRM records, ensuring every active opportunity has a clear status, owner, follow-up date and documented communication history.
- Prepare weekly sales pipeline reports and monthly performance summaries, tracking lead volumes, lead sources, qualification rates, conversion rates, proposals issued, wins and lost opportunities.
About you
- Previous experience in sales coordination, sales administration, account management or a similar client-facing commercial role.
- Demonstrated confidence conducting sales conversations and progressing opportunities towards conversion.
- Strong written and verbal communication skills.
- Excellent organisation, attention to detail and follow-through.
- Experience managing a sales pipeline and maintaining accurate CRM records.
- Confidence presenting services, discussing pricing and addressing client questions.
- Ability to manage multiple prospects and deadlines simultaneously.
- Solid commercial awareness and sound judgement.
- Experience preparing proposals,
quotes or sales documentation.
- Ability to work independently, take ownership and identify the next action without constant direction.
Key Attributes
Commercially minded: Understands how client needs, pricing, conversion and profitability contribute to business growth.
Relationship-driven: Builds trust and communicates confidently without using high-pressure sales tactics.
Proactive: Identifies what needs to happen next and acts without waiting for reminders.
Accountable: Owns opportunities, follows through on commitments and keeps records accurate.
Process-oriented: Understands that consistent systems are essential for repeatable sales performance.
Detail-focused: Ensures proposals, client expectations and handover information are accurate.
Solutions-focused: Approaches challenges with initiative and recommends practical improvements.
Collaborative: Works effectively with leadership and the delivery team to ensure the agency sells work it can deliver well.
What Success Looks Like
Within the first three months, the Sales Coordinator should be able to demonstrate ownership of the sales process, including:
- A fully maintained and reliable CRM.
- Consistent management of all inbound enquiries and referrals.
- A clear follow-up process with minimal missed opportunities.
- Confidence leading discovery calls and presenting the agency's services.
- Professional and timely proposal coordination.
- A documented, repeatable sales-to-onboarding handover.
- Reliable weekly reporting and clear visibility into the sales pipeline.
- An understanding of the agency's services, ideal client profile, pricing and commercial expectations.
Over time, success means increasing the consistency of sales performance, improving conversion of suitable opportunities, strengthening the prospective client experience and creating a more predictable source of new business for the agency.
