Stepping into this pivotal leadership role, you will hold total operational accountability for the office—driving high-performing team management, maintaining seamless trust accounting compliance, leading recruitment and staff development, and ensuring strategic KPIs are consistently met across the business.

Key Responsibilities

- Complete Office & Operational Leadership: Oversee daily operations across the entire agency, ensuring smooth cross-departmental integration between Sales, Property Management, Marketing, and Front-of-House.

- Team Performance & KPI Management: Lead, mentor, and accountability-manage a full team (Property Managers, Leasing Agents, Campaign Managers, Sales Coordinators, and Reception). Conduct structured weekly 1:1s, track performance metrics, and foster a high-performance culture.

- HR, Recruitment & Onboarding: Drive recruitment strategies, interview top talent, manage onboarding/offboarding workflows, and conduct ongoing staff training and development.

- End-to-End Trust Accounting: Oversee trust account compliance for both Sales (deposit management, settlement payouts) and Rentals (monthly reconciliations, disbursements).

- Compliance & Legal Governance: Serve as the senior Escalation Manager for complex client matters; assist with, preparation of VCAT hearings, ensuring the business operates strictly within legislative requirements.

- Systems & Process Optimization:



Continuously evaluate and implement efficient workflows, software upgrades, and standard operating procedures (SOPs) across the agency.

About You

- Proven Experience: 10 years of comprehensive experience across Real Estate Operations, Office Management, Sales Support, and Property Management.

- Dual-Department Capability: Demonstrated success managing or supporting both Sales and Rental/Property Management functions end-to-end.

- Strong Leadership & HR Skills: Excellent management style with a track record of running structured 1:1s, building accountability, and driving KPI performance.

- Trust Accounting Expertise: High proficiency in trust accounting principles across both sales settlements and property management portfolios.

- Tech-Savvy: High competence in industry software such as PropertyMe / PropertyTree, Inspection Express, IRE, Ignite, PriceFinder, RP Data, and TAPI (or similar platform suites).

- Communication & Presence: Outstanding verbal and written communication skills, exceptional dispute-resolution abilities, and a polished, professional presentation.

- Licensing: Valid Agent’s Representative Certificate or Full Real Estate Licence (Victoria).
