About the role The Office Manager / EA keeps the General Manager organised and the office running smoothly, so the leadership team can focus on growth. It is a varied, hands-on role: one hour you'll be managing the GM's diary and confidential documents, the next you'll be onboarding a new starter, setting up a tenant or planning a client event.
You'll be the central point of coordination for the leadership team and will work closely with:
Who you'll work with and How you'll work together
General Manager (David Khoury): Your direct manager. You'll run his calendar, inbox, meetings, correspondence, client events and travel, and support his property portfolio.
Sales & Leasing Team: Supporting the sales and leasing team with meetings, events, marketing collateral and admin as the team grows.
Asset Management: Coordinating property and facilities management admin, including tenant set-ups, bank guarantees,
work orders and the portfolio register.
Chief of Staff: Partnering on the operating rhythm, people and onboarding processes, office systems and supplier relationships, and helping bring current ways of working to life.
Key responsibilities
1. Executive support to the General Manager
- Manage the GM's calendar, inbox and priorities, including meeting scheduling, agendas and follow-ups
- Prepare, manage and file confidential documents such as proposals and employment contracts
- Follow up arrears for the GM's property portfolio
- Approve and process invoices in TGC Connect
- Organise client events, functions and related travel
- Provide occasional support to the founder, including monthly rent invoicing and ad hoc requests
2. Office management
- Keep the office and meeting rooms well presented, stocked and ready for use, with working IT
- Order groceries, office supplies and catering for meetings
- Act as the point of contact for our IT provider (Fuse Technology) and give first-line IT support to the team
- Scan and distribute incoming mail to the right property manager, facilities manager or accounts contact
- Manage relationships with office suppliers and service providers
3. People and team support
- Coordinate onboarding and offboarding of staff, working with the Chief of Staff
- Keep employee records up to date (address, emergency contacts and similar)
- Distribute staff communications, reminders and notices of upcoming changes
- Organise team events, training sessions and all-hands logistics
4. Property and facilities management admin
- Manage bank guarantee exchanges, collections and drawdowns
- Prepare tenant letters and welcome letters
- Set up new tenants in TGC Connect and SharePoint
- Raise ad hoc and scheduled work orders for the facilities managers
- Keep the portfolio register current, and update supplier and council mailing details
- 5.
Marketing and business support
- Keep the TGC Capability Statement and other company collateral up to date
- Support the Head of Sales & Leasing with meeting preparation, client events and admin
- Look for ways to improve office processes and systems as the business scales
About you
- Experienced EA or office manager. At least 2 years supporting a senior leader or running an office, ideally in commercial real estate, property management or professional services.
- Highly organised. You juggle competing priorities across several leaders, hit deadlines and keep a sharp eye for detail.
- Discreet and trustworthy. You handle confidential financial, client and employee information with professionalism.
- Tech-savvy. Confident with Microsoft 365 and SharePoint, and quick to learn new systems (experience with property management software such as TGC Connect, Salesforce or Notion is a plus).
- Proactive and hands-on. You see what needs doing and do it, from setting up a boardroom to drafting a tenant letter.
- Strong communicator. Clear, friendly and professional with colleagues, clients, tenants and suppliers.
- Scale-up mindset. You're comfortable in a small, growing team, wearing many hats and helping shape processes as we grow.
If you don't meet every criterion but believe you're the right fit, we'd still love to hear from you.
What success looks like
- The GM's diary, inbox and paperwork run smoothly, and nothing important slips
- The office is consistently well run, and the team has what it needs to do its best work
- New starters have a smooth, well-organised first week
- Property admin (tenant set-ups, bank guarantees, work orders, the register) is accurate and on time
- The leadership team, including the Chief of Staff, sees you as a reliable partner
Why join TGC
