About the role
This is a role for someone who wants to actually run things. You'll own how the small admin team operates day to day, with real freedom to build and improve the systems behind compliance, client service, and general operations.
We work in an AHPRA-regulated environment, so yes, there are rules — and we take them seriously. But we're refreshingly light on the bureaucratic theatre that usually comes bundled with "rules." We’re open to new ways of working, new thinking and we’re incredibly happy for you to bring your pooch to work, we do!
Key responsibilities
- Lead a passionate, dedicated admin team, making sure everything is accurate, timely, and compliant
- Design, document, and continuously improve internal processes and workflows — build the systems, then iterate as required
- Be the calm, sensible person people come to when something's gone sideways, and actually fix it
- Keep an eye on compliance obligations and reporting so the organisation is always audit-ready
- Manage workload and priorities across the team
- Maintain financial oversight including P&L; management, marketing strategy across multiple locations, and driving operational strategy within a rapid-growth environment
- Sniff out inefficiencies and risky bottlenecks before they become issues
- Support and mentor the team, building a culture that's capable and calm
- Liaise with accounts team, regulators, and external providers — professionally and efficiently
- Play an integral role in broader operational and business planning
About you
- Genuine experience in operations, office management, and team leadership
- Solid problem-solving skills — dig for the actual cause, not a Band-Aid
- Systems thinking — see how the pieces connect, and ensure these are documented to create simplicity for a smooth operation
- A desire for structured processes, and the willingness to create and improve them
- Experience in a regulated industry, ideally familiar with AHPRA, however will be learnt on the job
- An eye for detail
- The judgement and confidence to make decisions without needing a committee's blessing
- Strong communication skills — written and verbal
- Curiosity and confidence to challenge the status quo for the greater good
- Confidence to learn on the job — you will be autonomous in your business and team design
