SONACARE WOMEN'S HEALTH AND ULTRASOUND
Harrington Park
About Us
Sonacare Women's Health & Ultrasound is a specialist gynaecology practice located in Harrington Park, providing personalised care for women with complex gynaecological conditions.
Our practice combines specialist consultations, advanced pelvic ultrasound and surgical care, with a strong commitment to delivering compassionate, professional and patient-centred care.
We're looking for an experienced Senior Medical Receptionist who shares this commitment and brings the organisational skills, initiative and confidence to independently manage the day-to-day operations of a busy specialist practice.
About the Role
This is a senior, hands-on role for an experienced specialist medical receptionist who can confidently manage a busy reception desk independently.
You'll be responsible for patient enquiries, appointments, billing and daily administration, with the ability to multitask, prioritise competing demands and remain organised under pressure.
Previous specialist medical reception experience, Gentu proficiency and the ability to work independently are essential.
What Your Day Will Involve
- Managing reception independently: Confidently handling telephone calls, greeting patients, managing arrivals and departures, processing payments and coordinating patient flow without another receptionist alongside you.
- Providing an excellent patient experience: Responding to enquiries, explaining appointment arrangements and fees, and handling sensitive conversations with warmth, professionalism and discretion.
- Coordinating specialist appointments: Managing appointment schedules, referrals, cancellations and patient correspondence using Gentu practice management software.
- Managing billing and accounts: Processing Medicare, issuing invoices and receipts, managing payments and following up outstanding accounts accurately.
- Coordinating surgical bookings: Assisting with theatre bookings,
hospital documentation and communication with patients and healthcare providers.
- Managing clinical correspondence and administration: Preparing and checking correspondence, processing referrals, managing electronic tasks and maintaining accurate patient records.
- Keeping the practice running smoothly: Prioritising competing tasks, identifying matters requiring the specialist's attention, maintaining an organised reception setting and ensuring administrative tasks are completed efficiently.
About You
You're an experienced medical receptionist who understands both sides of the role: the precision required behind the desk and the warmth needed when communicating with patients.
You're comfortable being the person responsible for keeping reception running smoothly, even when the phone is ringing, patients are arriving and several administrative tasks need attention.
You take pride in accuracy, communicate professionally and have the initiative to identify and resolve routine administrative issues independently.
Essential Requirements
- Proven experience working in a specialist medical reception role.
- Strong hands-on experience with Gentu practice management software, including appointment management, billing and patient administration.
- Previous experience independently managing a busy medical reception desk, including telephone calls, patient enquiries, appointments, payments and associated administrative duties.
- Sound knowledge of Medicare billing and specialist medical administration.
- Excellent written and verbal communication skills, including professional email correspondence.
- Exceptional attention to detail, accuracy and organisational skills.
- Proven ability to multitask, prioritise competing demands and remain calm under pressure.
- A professional, compassionate and patient-focused approach.
- Initiative, reliability and confidence working with minimal supervision.
Experience with surgical bookings and theatre administration will be highly regarded.
Why Join Sonacare?
This is an opportunity to work in a highly specialised women's health practice where your experience, professionalism and contribution will be genuinely valued.
