About Us

We are a busy, well-established automotive smash repair business with over 35 years of experience in the automotive industry.

We are looking for a proactive, organized and customer-focused individual to join our team as a Front Office & Customer Service Coordinator.

This is a key role within our business, combining customer service, administration and job coordination to ensure our daily operations run smoothly.

You will be the first point of contact for our customers and work closely with our workshop and management team to deliver an efficient and professional customer experience.

Key Responsibilities

- Manage front office operations and customer enquiries

- Greet customers and provide friendly, professional service

- Answer phone calls, emails and customer enquiries

- Coordinate vehicle bookings, appointments and scheduling

- Manage rescheduling and cancellations as required

- Assist with insurance claims, documentation and communication with insurers

- Follow up with customers regarding repairs, bookings and job progress

- Maintain accurate records and update specialized automotive management software

- Liaise with workshop staff and management to coordinate workflow

- Ensure customer information and job documentation are complete and up to date

- Perform general administration, filing,



scanning and data entry

- Identify and assist with improving front office processes and efficiency

- Communicate with internal team , insurance companies / customers

About You

- Excellent communication and customer service skills

- Highly organized with strong attention to detail

- Confident managing multiple tasks and priorities

- Proactive, reliable and able to take initiative

- Professional and friendly telephone manner

- Proficient in Microsoft Word, Excel and Outlook

- Comfortable learning new software and systems

- Previous experience in administration, reception or customer service preferred

- Experience in automotive smash repairs, insurance claims or a similar industry highly regarded but not essential

- Thrive in a fast paced environment
