About the role

As our Dental Administrator, you'll be the organised, friendly heart of the practice: keeping the front desk running smoothly, looking after patients from their first call, and working closely with our dentists, hygienists, dental assistants and reception team. You'll also step chair-side to coach our dental assistants and help raise the standard of care patients experience. Along the way, you'll work alongside our coordination team and build the skills, product knowledge and patient confidence to step up into the Administrative Coordinator role as the practice grows.

Key responsibilities

- Be the first point of contact, welcoming patients and handling enquiries by phone, email and SMS with warmth and professionalism
- Manage the appointment book, scheduling and confirming appointments to keep patient flow smooth between reception, surgeries and hygiene
- Process payments, deposits and payment plans, and handle treatment-related administration
- Keep patient records accurate and up to date
- Run recall and reactivation to keep patients connected to their long-term care
- Help resolve patient concerns, escalating where needed
- Help coordinate treatment plans and appointment sequences with the dentists and clinical team
- Track outstanding treatment plans and assist with patient follow-up
- Work hands-on chair-side alongside our dental assistants, modelling best practice during procedures
- Coach and mentor dental assistants on four-handed dentistry, instrument and tray set-up, infection control, patient care and clinical communication

About you

- Have experience in a dental, healthcare, medical or customer-service environment. Dental reception or practice experience is highly regarded
- Bring hands-on chair-side dental assisting experience, with the confidence to train and lead others. A Certificate III or IV in Dental Assisting is highly regarded
- Communicate with warmth and clarity, and are comfortable (or keen to become comfortable) talking with patients about treatment, fees and payment options
- Are highly organised with excellent attention to detail, and can juggle multiple priorities
- Are confident with practice management software and computer systems
- Take initiative and enjoy following through, building relationships and getting things done
- Are ambitious to grow and excited by a pathway into a coordinator role
