About the Company

At Cirql, we partner with middle-market organisations experiencing change and growth. This opportunity is part of a significant workforce transformation within a large, complex organisation investing in its systems, processes and technology to support its future needs. The organisation is undertaking a major Workforce Management (WFM) implementation, introducing UKG across a workforce of more than 10,000 employees.

With rostering, workforce planning and operational requirements at the centre of the transformation, this is a substantial project that will influence how the business manages its people and day-to-day operations.

The scale and complexity of the implementation mean that strong project coordination is critical. With multiple workstreams, competing priorities and a significant delivery agenda, the team needs someone who can bring structure, maintain momentum and ensure the moving parts stay connected. This is a fast-paced environment where things move quickly, priorities can change and the ability to stay ahead of the details makes a genuine difference.

It's an opportunity to work closely with the Program Manager, contribute to a high-profile transformation and play an important role in keeping delivery on track.

The Opportunity

Reporting directly to the Program Manager, the Project Coordinator will play a key role in supporting the delivery of a large-scale WFM transformation, coordinating project schedules, tracking financials and ensuring actions, milestones and dependencies are progressing as planned. This is not a role for someone who simply updates spreadsheets and waits for instructions. We're looking for a proactive, organised project coordinator who can keep pace with a busy delivery environment, anticipate what's coming next and follow through to make sure things get done.

You'll work across project planning, scheduling, financial tracking, reporting and stakeholder coordination, helping the Program Manager maintain visibility of progress, manage competing priorities and keep the broader project moving forward. You'll need to be comfortable working with multiple stakeholders, chasing actions, identifying potential delays and bringing attention to issues before they become bigger problems. Given the nature of the implementation, an understanding of workforce management and rostering will be valuable.

You'll appreciate the operational complexity behind workforce scheduling and the importance of getting the systems, processes and implementation right for a workforce of more than 10,000 employees.

Experience using MS Project will be highly regarded, particularly when it comes to maintaining project plans, managing dependencies and tracking milestones. Familiarity with DevOps environments or similar will also be advantageous.

This opportunity will suit someone who enjoys being close to delivery, thrives in a fast-moving environment and takes genuine ownership of keeping projects organised, coordinated and moving at pace.

What You'll Do

This is a hands-on project coordination role for someone who enjoys bringing structure to complexity, staying ahead of deadlines and making sure nothing falls through the cracks. You'll work closely with the Program Manager and project stakeholders to support the successful delivery of a major WFM implementation.

- Coordinate and maintain project schedules, milestones, dependencies and delivery plans, ensuring workstreams remain aligned and progress stays visible.
- Monitor project financials, including budgets, forecasts, expenditure and reporting, helping maintain clear visibility of financial performance.
- Maintain project plans using MS Project, tracking milestones, critical dependencies and changes to timelines.
- Support the Program Manager in driving project delivery, following up on actions, escalating blockers and keeping priorities moving in a fast-paced environment.
- Coordinate project meetings, workshops and stakeholder sessions, ensuring agendas, actions, decisions and follow-ups are managed effectively.
- Track deliverables, risks, issues and dependencies across workstreams, proactively identifying potential delays and supporting timely resolution.
- Support the coordination of the UKG implementation, helping connect project activities with workforce management, rostering and operational requirements.
- Assist with project governance, documentation and reporting processes, ensuring information is accurate, current and accessible.
- Use project management tools and systems to improve visibility, accountability and coordination across the project.
- Take ownership of follow-ups and outstanding actions, ensuring commitments are tracked through to completion rather than left sitting in a spreadsheet.
- Adapt to changing priorities and emerging delivery needs, helping the team maintain momentum as the project evolves.

What You'll Bring We're looking for a project coordinator who combines strong organisational skills with a proactive, delivery-focused mindset. You might already be working in a project coordination role within technology, systems implementation or business transformation, or you may have experience supporting complex programs where scheduling,

financial tracking and stakeholder coordination are central to delivery.

You'll be someone who naturally stays one step ahead. You can see what needs to happen next, keep track of multiple moving parts and follow through with stakeholders to ensure progress doesn't stall. You're comfortable working at pace, can manage competing demands without losing sight of the detail, and understand that effective project coordination is about actively driving delivery, not simply reporting on it. You'll bring:

- Experience in a project coordination, project support or project controls role, ideally within a technology implementation, systems transformation or complex business change environment.
- Strong project scheduling skills, with the ability to maintain project plans, track milestones, manage dependencies and identify potential impacts to delivery timelines.
- Experience using MS Project to develop and maintain project schedules, with an understanding of how to track progress and manage changes to plans.
- Exposure to project financials, including budget tracking, forecasting, expenditure monitoring and financial reporting.
- Strong organisational skills and attention to detail, with the ability to manage multiple workstreams, competing deadlines and changing priorities.
- An understanding of workforce management and rostering, ideally with exposure to workforce scheduling, time and attendance or related systems.
- Exposure to UKG or another workforce management platform would be advantageous.
- Familiarity with DevOps tools or similar environments, ideally with an understanding of how delivery teams manage work items, backlogs, releases and dependencies.
- The ability to identify risks, spot gaps and anticipate potential roadblocks rather than waiting for problems to surface.
- A proactive, practical approach and the confidence to take ownership of tasks, work autonomously and keep things moving without constant direction.

Most importantly, you'll be someone who brings energy, structure and momentum to a project. You don't need to have all the answers, but you do need to be organised, commercially aware, comfortable with complexity and willing to get into the detail to make things happen. This is an prospect to play an important role in a significant workforce transformation, working closely with the Program Manager on a UKG implementation that will impact more than 10,000 employees. If you're a project coordinator who enjoys a fast-paced environment, takes pride in keeping delivery on track and wants to be part of a meaningful systems implementation, this could be an excellent next step in your career. Not sure if you meet every requirement? Please apply, we're happy to discuss your individual circumstances.
