About the role

We are seeking a Sales Admin to join our team at WhiteWater Marine on a full-time basis in Ashmore, QLD 4214. This is a pivotal position that will provide essential administrative support to our sales team, ensuring smooth operations and exceptional service delivery to our clients. You will be the backbone of our sales department, managing key processes and maintaining strong relationships with customers and internal stakeholders. This role is crucial to the success of our sales operations and will directly contribute to the growth and profitability of the business.

What you'll be doing

- Processing and managing sales orders from initial receipt through to completion, ensuring accuracy and timeliness

- Coordinating with customers to provide quotations, confirmations and order updates

- Maintaining accurate records of sales transactions, customer information and communication history

- Supporting the sales team with administrative tasks including scheduling, correspondence and documentation

- Preparing invoices, delivery documents and other sales-related paperwork

- Liaising with warehouse and delivery teams to ensure orders are fulfilled correctly and on schedule

- Managing customer enquiries and directing them to the appropriate team members

- Entering data into sales systems and databases whilst maintaining data integrity

- Supporting the resolution of order issues or customer complaints in a professional manner

- Contributing to administrative efficiency through the maintenance of filing systems and company procedures

- Reporting to the director

What we're looking for





- Proven experience in a client-facing or sales administration role, ideally within a retail, marine or similar customer-focused environment

- Strong proficiency with Microsoft Office applications, particularly Excel and Outlook

- Evopos and Xero experience would be a bonus but not essential

- Familiarity with sales order management systems and CRM software is highly desirable

- Excellent organisational skills with the ability to manage multiple tasks and priorities simultaneously

- Outstanding communication and interpersonal skills, with a professional demeanor when interacting with customers and colleagues

- Meticulous attention to detail and commitment to maintaining accuracy in all administrative work

- A proactive approach to problem-solving and the ability to work independently as well as part of a team

- Robust customer service orientation with a genuine desire to support both internal and external stakeholders

- Reliability and punctuality, with a flexible approach to the demands of a busy sales environment
