OBJECTIVE To provide exceptional customer service to clients and their pets while supporting the smooth and effective operation of the practice.
KEY DUTIES
Greet clients and patients in a friendly and skilled manner.
Manage reception, appointments, phone calls and client enquiries.
Maintain accurate client and patient records.
Process invoices, payments, credit applications and other client transactions.
Coordinate surgery bookings, confirmations and pre-operative requirements.
Manage medication and product requests, including orders, prescriptions and client notifications.
Maintain appropriate stock levels, process orders and ensure stock is correctly received, stored and rotated.
Process patient histories, online registrations and microchip database updates as required.
Monitor and action practice emails, messages and client requests promptly.
Maintain a clean, organised and well-stocked reception area.
Use Cornerstone, Microsoft programs and other practice systems effectively.
Communicate openly with the team and ensure messages, requests and tasks are followed up.
Complete daily/session tasks accurately, efficiently and within required timeframes.
Follow all practice policies, procedures and standards of service.
REQUIREMENTS
Skills & Abilities
Excellent customer service and communication skills.
Ability to work effectively as part of a team.
Ability to manage multiple phone lines and competing priorities.
Competent computer skills and willingness to learn practice software.
Ability to use initiative, prioritise tasks and work efficiently.
Knowledge
Basic knowledge of animal care and husbandry.
Familiarity with commonly used veterinary medications and over-the-counter products.
Understanding of relevant practice policies and procedures.
Experience & Qualifications
Veterinary reception or animal-related experience is desirable.
Certificate or qualification in an animal-related field is advantageous.
Training will be provided under the direction of the Practice Manager or Senior Veterinary Nurse/Receptionist.
