This is a part-time position (32 hrs) based on-site at our practice.
As Treatment Coordinator, you will play a vital role in ensuring seamless patient experiences from initial consultation through to treatment completion.
You will be the crucial link between our clinical team and patients, managing appointments, coordinating treatment plans, and maintaining exceptional communication throughout each patient's orthodontic journey.
This position is strategically important to our practice, as it directly impacts patient satisfaction, treatment outcomes, and the overall efficiency of our operations.Key responsibilitiesConduct thorough patient consultations and gather comprehensive treatment history and medical informationPresent treatment plans to patients, explaining procedures, timelines, and financial options in a clear and professional mannerCoordinate treatment scheduling with orthodontists and support staff to ensure efficient case managementProcess treatment authorisations and coordinate with insurance providers where applicableMonitor patient progress and ensure adherence to treatment protocols and appointment complianceMaintain detailed and accurate patient records, including clinical notes and treatment documentationHandle patient queries and concerns, escalating complex issues to clinical staff as necessaryIssue treatment costs, fees, and payment arrangements,



ensuring patients understand financial obligationsSupport the clinical team by preparing treatment areas and ensuring all necessary materials are availableMaintain a professional and welcoming reception environmentWhat we're looking forMinimum 3–5 years' experience as an Orthodontic Treatment Coordinator or similar clinical coordination role within an orthodontic practiceProven experience in treatment coordination, and clinical documentationStrong understanding of orthodontic terminology, procedures, and treatment planning principlesExcellent communication skills with the ability to explain complex treatment information to diverse patient populationsProficiency in dental practice management software and electronic health records systemsDemonstrated ability to manage multiple tasks simultaneously whilst maintaining accuracy and attention to detailOutstanding organisational and time management skillsPatient-focused mindset with a genuine commitment to delivering exceptional customer serviceAbility to work collaboratively with orthodontists, hygienists, and administrative staffProfessional demeanour and the capacity to build solid patient relationshipsCurrent First Aid and CPR certification (or willingness to obtain)Desirable:
