The Role

We’re looking for a highly organised, resourceful all-rounder to work directly with our Director across agency operations, workflow coordination and marketing support.

This is a hands-on role for someone who takes direction well, works efficiently and pays close attention to detail. You’ll support the Director and coordinate with designers, developers and suppliers to keep work moving as priorities shift.

What You’ll Do

Director & Agency Support

- Manage the Director’s calendar and schedule meetings
- File receipts, manage invoicing and maintain organised records
- Capture and file meeting notes using Pocket AI
- Prepare meeting WIPs and action lists using Claude
- Provide CRM and general administrative support

Workflow & Project Coordination

- Brief and liaise with designers, developers and suppliers




- Track deadlines, deliverables and outstanding actions
- Follow up with suppliers to keep work on schedule
- Maintain organised project files, briefs and workflows
- Flag roadblocks and work with the Director to resolve them

Marketing & Systems

- Support CRM management, automation and nurture campaigns
- Assist with paid media, digital and marketing activity as directed
- Use AI tools to improve workflows and day-to-day efficiency
- Step into different areas of the agency as workloads shift

Who We’re Looking For

Someone highly organised, adaptable and comfortable taking direction. You can work across competing priorities, follow instructions carefully and deliver work to a high standard.

You’ll be confident working with systems, managing deadlines and communicating with suppliers. You’ll have a genuine interest in AI and be willing to learn recent tools and ways of working.

Experience in marketing, CRM, paid media, design or project coordination would be highly advantageous. Previous experience in the property or finance industries would also be highly regarded. Above all, organisation, initiative and reliable execution are essential.
